Our current portfolio includes projects in indoor agriculture, biomass waste-to-energy, carbon sequestration, and energy efficiency systems for commercial real estate.Job Overview:We are looking for a reliable and motivated Communications Coordinator to support our Corporate Affairs team and the Portland office branch. This onsite role requires excellence in administrative support, strong organizational skills, and a growth oriented mindset.The ideal candidate is collaborative, creative yet detail-oriented, and a proactive self-starter with a great sense of humor. They thrive under deadlines, maintain a calm and confident demeanor, and consistently produce high-quality work with precision and timely follow through.This position offers a dynamic blend of marketing, communications, and administrative responsibilities, making it an excellent opportunity for a curious and driven individual eager to take on new challenges and grow within our organization.General Administration and Office Management:&middot; Respond to incoming communications or direct them to the appropriate team members&middot; Provide general administrative support to the Portland office team&middot; Collaborate closely with other administrators within the company at different locations; streamline administrative processes; maintain organized and up-to-date records and files&middot; Occasionally assist with the planning and execution of events and other special projects&middot; Serve as primary point of contact for facility-related needs; manage office space security and software systems; maintain office supplies and equipment by proactively planning orders and servicesSocial Media:&middot; With Marketing Director&rsquo;s oversight, manage content calendar and ensure timely publication across platforms (Facebook, Instagram, LinkedIn, YouTube)&middot; Monitor and manage engagement across all profiles including comments, messages, and reviews; provide regular analytics report. Social media content creation and content management<ul><li>Assist with photo and video shoots as needed (as assistant/runner)</li><li>Edit on-brand photos and text graphics for social media posts (required)</li><li>Edit on-brand vertical video content for social platforms (preferred)</li><li>Draft engaging captions tailored to platform-specific audiences and brand voice</li><li>Build and maintain searchable database of approved content, photos, and brand assets across three company portfolios</li></ul>General Marketing and Communications:&middot; Maintain project timelines, track project progress, and communicate updates&middot; Source vendors and obtain competitive quotes&middot; Coordinate logistics with external agencies, photographers, and videographers as needed&middot; Maintain and update marketing databases and email contact lists, ensuring data accuracy&middot; Develop and maintain marketing process documentation and playbooks for scalability&middot; Conduct market research, reporting on market trends and industry developments&middot; Record and track marketing spend; generate monthly budget reports&middot; Assist in developing standardized performance benchmarking reports across company portfolio&middot; Develop, edit, organize, and maintain communication materials like letterhead, presentations, white papers, etc. across the company portfolio&middot; Assist other departments like Human Resources and IT with communication tools, strategies, and best practicesTechnical Skills:&middot; Proficiency in Microsoft Office suite, Excel required&middot; Strong research skills and familiarity with research best practices&middot; Familiarity with social media platforms (Meta Business, LinkedIn, YouTube)&middot; Skilled in Adobe Creative Suite, (with ability to edit vertical video content) Preferred&middot; Experience with cloud-based project management and collaboration software (Notion or similar)&middot; Experience with social media management platforms (Hootsuite, Buffer, or similar)&middot; AI literacy and adaptability: ability to quickly learn AI platforms (Jasper, Claude, Perplexity) to maximize efficiency of a small team&middot; Ability to quickly learn new platforms to adapt to changing marketing technology landscapeRequirements:&middot; Solid understanding of basic marketing and content principles&middot; Experience with creative and content creation workflows&middot; Ability to prioritize tasks and manage multiple responsibilities simultaneously with minimal supervision&middot; Strong interpersonal skills and ability to collaborate across departments; sound judgment with high levels of integrity and confidentiality&middot; Proactively identify and resolve challenges&middot; Willingness to travel occasionally&middot; Superior written and verbal communicationEducation:.
