Our current portfolio includes projects in indoor agriculture, biomass waste-to-energy, carbon sequestration, and energy efficiency systems for commercial real estate.

Job Overview:

We are looking for a reliable and motivated Communications Coordinator to support our Corporate Affairs team and the Portland office branch. This onsite role requires excellence in administrative support, strong organizational skills, and a growth oriented mindset.

General Administration and Office Management:

· Respond to incoming communications or direct them to the appropriate team members

· Provide general administrative support to the Portland office team

· Collaborate closely with other administrators within the company at different locations; streamline administrative processes; maintain organized and up-to-date records and files

· Occasionally assist with the planning and execution of events and other special projects

· Serve as primary point of contact for facility-related needs; manage office space security and software systems; maintain office supplies and equipment by proactively planning orders and services

Social Media:

· With Marketing Director’s oversight, manage content calendar and ensure timely publication across platforms (Facebook, Instagram, LinkedIn, YouTube)

· Monitor and manage engagement across all profiles including comments, messages, and reviews; provide regular analytics report

. Social media content creation and content management

  • Assist with photo and video shoots as needed (as assistant/runner)
  • Edit on-brand photos and text graphics for social media posts (required)
  • Edit on-brand vertical video content for social platforms (preferred)
  • Draft engaging captions tailored to platform-specific audiences and brand voice
  • Build and maintain searchable database of approved content, photos, and brand assets across three company portfolios

General Marketing and Communications:

· Maintain project timelines, track project progress, and communicate updates

· Source vendors and obtain competitive quotes

· Coordinate logistics with external agencies, photographers, and videographers as needed

· Maintain and update marketing databases and email contact lists, ensuring data accuracy

· Develop and maintain marketing process documentation and playbooks for scalability

· Conduct market research, reporting on market trends and industry developments

· Record and track marketing spend; generate monthly budget reports

· Assist in developing standardized performance benchmarking reports across company portfolio

· Develop, edit, organize, and maintain communication materials like letterhead, presentations, white papers, etc. across the company portfolio

· Assist other departments like Human Resources and IT with communication tools, strategies, and best practices

Technical Skills:

· Proficiency in Microsoft Office suite, Excel required

· Strong research skills and familiarity with research best practices

· Familiarity with social media platforms (Meta Business, LinkedIn, YouTube)

· Skilled in Adobe Creative Suite, (with ability to edit vertical video content) Preferred

· Experience with cloud-based project management and collaboration software (Notion or similar)

· Experience with social media management platforms (Hootsuite, Buffer, or similar)

· AI literacy and adaptability: ability to quickly learn AI platforms (Jasper, Claude, Perplexity) to maximize efficiency of a small team

· Ability to quickly learn new platforms to adapt to changing marketing technology landscape

Requirements:

· Solid understanding of basic marketing and content principles

· Experience with creative and content creation workflows

· Ability to prioritize tasks and manage multiple responsibilities simultaneously with minimal supervision

· Strong interpersonal skills and ability to collaborate across departments; sound judgment with high levels of integrity and confidentiality

· Proactively identify and resolve challenges

· Willingness to travel occasionally

· Superior written and verbal communication

Education:

. Bachelor's Degree in relevant field in Marketing, Business Administration, Communications, or related field or equivalent experience

Vacation: Entitled to 2 weeks' paid vacation per annum, accrued each pay period.

Job Type: Full-time

Pay: $51,000.00 - $53,000.00 per year
