This position is responsible for executing structured, repeatable tasks that directly support financial accuracy, inventory control, and operational efficiency.The ideal candidate thrives in a process-driven environment, follows checklists with precision, and ensures that nothing falls through the cracks.REQUIRED EXPERIENCE<ul><li>3+ years in administrative, operations, or finance support role</li><li>Hands-on experience with QuickBooks Online</li><li>Hands-on experience with BambooHR</li><li>Experience working in structured systems (high-volume, detail-oriented work)</li><li>Strong proficiency in Microsoft 365 (Excel, Outlook, Teams)</li></ul>HIGHLY PREFERRED <ul><li>MSP or IT services experience</li><li>Experience with ConnectWise Manage or similar PSA</li><li>Procurement / vendor coordination experience</li><li>Experience handling inventory or asset tracking</li></ul>CORE RESPONSIBILITIES1. Finance Execution SupportPerform accurate data entry in QuickBooks Online (AP, basic AR support)Process and organize vendor invoices and receiptsAssist in tracking accounts payable and outstanding billsSupport reconciliation prep (gather documents, match receipts)Maintain clean and organized financial recordsAssist in identifying missing financial documentation2. Procurement &amp; Inventory CoordinationAssist in coordinating purchasing of IT equipment, software, and servicesTrack all incoming and outgoing equipmentMaintain inventory logs and assist with physical countsSupport asset tracking and lifecycle managementCoordinate with vendors for order fulfillment and delivery updates3. Office &amp; Operational ExecutionManage all incoming/outgoing mail and packagesAssist / Handle product picking, packing, and shippingMaintain office supplies and reorder as neededSupport front desk responsibilities (calls, visitors)Ensure office operations run smoothly day-to-day4. Administrative &amp; Coordination SupportManage some calendars and schedulingMaintain organized digital and physical filing systemsAssist with onboarding logistics &amp; documentationSupport report preparation and documentationTrack and follow up on assigned tasks and deadlines5.
