Administrative Assistant - MSP Operations

Cybertools is seeking a reliable, dependable, highly organized, detail-oriented Administrative Operations Assistant to support finance execution, procurement, and daily office operations.

This is not a general admin role. This position is responsible for executing structured, repeatable tasks that directly support financial accuracy, inventory control, and operational efficiency.

The ideal candidate thrives in a process-driven environment, follows checklists with precision, and ensures that nothing falls through the cracks.

REQUIRED EXPERIENCE

  • 3+ years in administrative, operations, or finance support role
  • Hands-on experience with QuickBooks Online
  • Hands-on experience with BambooHR
  • Experience working in structured systems (high-volume, detail-oriented work)
  • Strong proficiency in Microsoft 365 (Excel, Outlook, Teams)

HIGHLY PREFERRED

  • MSP or IT services experience
  • Experience with ConnectWise Manage or similar PSA
  • Procurement / vendor coordination experience
  • Experience handling inventory or asset tracking

CORE RESPONSIBILITIES

1. Finance Execution Support

Perform accurate data entry in QuickBooks Online (AP, basic AR support)

Process and organize vendor invoices and receipts

Assist in tracking accounts payable and outstanding bills

Support reconciliation prep (gather documents, match receipts)

Maintain clean and organized financial records

Assist in identifying missing financial documentation

2. Procurement & Inventory Coordination

Assist in coordinating purchasing of IT equipment, software, and services

Track all incoming and outgoing equipment

Maintain inventory logs and assist with physical counts

Support asset tracking and lifecycle management

Coordinate with vendors for order fulfillment and delivery updates

3. Office & Operational Execution

Manage all incoming/outgoing mail and packages

Assist / Handle product picking, packing, and shipping

Maintain office supplies and reorder as needed

Support front desk responsibilities (calls, visitors)

Ensure office operations run smoothly day-to-day

4. Administrative & Coordination Support

Manage some calendars and scheduling

Maintain organized digital and physical filing systems

Assist with onboarding logistics & documentation

Support report preparation and documentation

Track and follow up on assigned tasks and deadlines

5. System & Data Support

Assist with data entry and updates in systems like:

o QuickBooks Online

o BambooHR

o ConnectWise (limited)

Pay: From $25.00 per hour
