Administrative Assistant

Responsibilities

  • Manage front desk duties including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
  • Handle calendar management and scheduling for team members using tools like Google Workspace and Microsoft Office
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization across all office records
  • Support bookkeeping tasks using QuickBooks and assist with basic financial record keeping and invoicing clients
  • Coordinate office supplies procurement, maintain inventory levels, and oversee general office management tasks
  • Provide customer service support by addressing inquiries promptly and professionally, both in person and via email or phone
  • Assist with personal assistant responsibilities such as appointment scheduling, travel arrangements, and task prioritization

Experience

  • Proven office experience or clerical background demonstrating strong organizational skills and attention to detail
  • Familiarity with multi-line phone systems, Google Workspace, Microsoft Office Suite (Word, Excel, PowerPoint), and data entry procedures
  • Bilingual abilities are highly valued to support diverse client and staff interactions
  • Experience with bookkeeping software like QuickBooks or similar financial tools is preferred
  • Demonstrated ability to manage calendars effectively, prioritize tasks efficiently, and maintain confidentiality in sensitive situations
  • Proficient typing speed combined with proofreading skills to ensure error-free documentation
