This paid position offers a chance to develop your office management expertise while contributing to a positive workplace atmosphere.Responsibilities<ul><li>Greet visitors and clients warmly at the front desk, providing excellent customer service and maintaining a professional demeanor.</li><li>Manage multi-line phone systems, answer inquiries promptly, and direct calls efficiently using proper phone etiquette.</li><li>Handle data entry tasks accurately using computer skills, including Microsoft Office and Google Workspace applications.</li><li>Maintain organized filing systems, perform proofreading of documents, and ensure all records are up-to-date.</li><li>Support office management by coordinating calendar appointments, scheduling meetings, and managing time-sensitive tasks.</li><li>Assist with clerical duties such as photocopying, faxing, mailing, and preparing correspondence.</li><li>Perform basic bookkeeping functions using QuickBooks or similar software to track expenses and invoices as needed.</li></ul>Requirements<ul><li>Proven office experience with strong organizational and administrative skills.</li><li>Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools.</li><li>Experience with multi-line phone systems and phone etiquette is essential.</li><li>Bilingual abilities are highly desirable to serve diverse clients and team members effectively.</li><li>Strong typing skills with attention to detail for data entry and proofreading tasks.</li><li>Previous clerical or customer service experience in an office or medical/dental reception setting is preferred.</li><li>Ability to manage time efficiently while handling multiple priorities in a fast-paced environment.</li><li>Personal assistant or medical receptionist experience is a plus but not required; training will be provided for specific duties.
