Responsibilities
- Greet visitors and clients warmly at the front desk, providing excellent customer service and maintaining a professional demeanor.
- Manage multi-line phone systems, answer inquiries promptly, and direct calls efficiently using proper phone etiquette.
- Handle data entry tasks accurately using computer skills, including Microsoft Office and Google Workspace applications.
- Maintain organized filing systems, perform proofreading of documents, and ensure all records are up-to-date.
- Support office management by coordinating calendar appointments, scheduling meetings, and managing time-sensitive tasks.
- Assist with clerical duties such as photocopying, faxing, mailing, and preparing correspondence.
- Perform basic bookkeeping functions using QuickBooks or similar software to track expenses and invoices as needed.
Requirements
- Proven office experience with strong organizational and administrative skills.
- Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools.
- Experience with multi-line phone systems and phone etiquette is essential.
- Bilingual abilities are highly desirable to serve diverse clients and team members effectively.
- Strong typing skills with attention to detail for data entry and proofreading tasks.
- Previous clerical or customer service experience in an office or medical/dental reception setting is preferred.
- Ability to manage time efficiently while handling multiple priorities in a fast-paced environment.
- Personal assistant or medical receptionist experience is a plus but not required; training will be provided for specific duties.
