This position offers an exciting opportunity to contribute to a well-organized office environment while developing your skills in clerical and administrative functions.Responsibilities<ul><li>Prepare, review, and send invoices using accounting software such as QuickBooks, ensuring all billing details are accurate and complete </li><li>Manage incoming payments, process data entry, and update financial records with precision </li><li>Handle front desk duties including greeting visitors, answering multi-line phone systems, and directing calls professionally with excellent phone etiquette </li><li>Maintain organized filing systems for billing documents, receipts, and related correspondence </li><li>Support office management tasks such as calendar management, scheduling appointments, and coordinating meetings </li><li>Assist with data entry tasks related to client accounts, billing history, and payment tracking using Microsoft Office and Google Workspace tools </li><li>Proofread invoices and correspondence for accuracy while maintaining high standards of proofreading and attention to detail</li></ul>Experience<ul><li>Previous clerical or administrative experience in an office setting is required; experience in medical or dental reception is a plus </li><li>Proficiency with QuickBooks accounting software is highly desirable </li><li>Strong computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications </li><li>Excellent organizational skills with the ability to manage multiple priorities efficiently </li><li>Bilingual abilities are preferred to support diverse client needs </li><li>Experience in customer service roles involving phone support and customer support interactions is beneficial </li><li>Knowledge of office management practices such as filing systems, data entry, calendar management, and time management techniques</li></ul>Join our team to be part of a vibrant workplace where your organizational talents will shine!
