 Key Responsibilities:
 
 
 
 The Warehouse Receptionist / Administrator is responsible for providing administrative support to the warehouse operations team while also serving as the first point of contact for visitors and callers. This dual-role position ensures the smooth flow of warehouse documentation, inventory records, and front-desk activities with a focus on professionalism, accuracy, and efficiency.
 
 
 
 
 
 Supervisory Responsibilities:
 
 
 This position does not supervise staff but works cross-functionally with internal teams, clients, and external vendors.
 
 
 
 
 
 
 Essential Responsibilities:
 
 
 
 
 
 
 
 Reception Duties:
 
 
 
 &bull; Greet and direct all visitors, vendors, and drivers in a professional and courteous manner.
 
 
 &bull; Answer and route incoming calls promptly, taking messages as needed.
 
 
 &bull; Maintain a clean and organized front desk and reception area.
 
 
 &bull; Receive, sort, and distribute incoming mail and packages.
 
 
 &bull; Monitor and manage visitor logs and ensure all guests comply with safety procedures.
 
 
 
 
 
 
 Administrative Duties:
 
 
 
 &bull; Perform data entry of warehouse documents including shipment receipts, inventory adjustments, and order processing.
 
 
 &bull; Maintain and update shipping, receiving, and inventory control logs.
 
 
 &bull; Assist with generating shipping labels, bills of lading, and other required paperwork.
 
 
 &bull; Coordinate office supply orders and maintain stock of administrative materials.
 
 
 &bull; Support warehouse team with filing, reporting, and recordkeeping tasks.
 
 
 &bull; Coordinate office administrative tasks such as setting up workstations, organizing storage areas, and preparing office layouts.

 &bull; Order and maintain stock of office and warehouse supplies including furniture, cleaning materials, and general inventory needs.
 
 
 &bull; Assist in the initial setup and coordination of the warehouse office environment, including arranging IT support and office equipment.
 
 
 &bull; Liaise with vendors and service providers for facility-related needs or repairs.
 
 
 
 
 
 
 Warehouse Coordination:
 
 
 
 &bull; Communicate with carriers, vendors, and internal departments to confirm deliveries and shipments.
 
 
 &bull; Schedule dock appointments for incoming and outgoing freight.
 
 
 &bull; Monitor inventory and assist with cycle counts and reconciliation as needed.
 
 
 &bull; Help track and resolve discrepancies in shipping or receiving documentation.

 Minimum Education Qualifications:

 Good knowledge of international and domestic geography, including key cities, airports, and seaports

 Awareness of risk factors and ability to support risk mitigation measures

 Strong experience working with CRM systems, tracking tools, and data dashboards
