This paid position offers an exciting opportunity to develop your administrative skills while contributing to a vibrant workplace culture.Responsibilities<ul><li>Greet visitors and manage front desk duties with professionalism and warmth, creating a positive first impression.</li><li>Answer/generate emails and phone calls</li><li>Manage calendar appointments, schedule meetings, and coordinate office events using Google Workspace tools.</li><li>Perform data entry, maintain filing systems, and ensure all records are organized and up-to-date for easy retrieval.</li><li>Handle incoming and outgoing correspondence, proofread documents for accuracy, and assist with basic bookkeeping tasks using QuickBooks or similar software.</li><li>Support office management tasks such as supply inventory, equipment maintenance, and general clerical duties to keep the office running smoothly.</li><li>Provide customer support by addressing inquiries efficiently and professionally, ensuring excellent service at all times. This list is a general outline and additional or similar tasks may be asigned as needed.</li></ul>Skills<ul><li>Proven experience in office management or administrative roles with strong organizational skills.</li><li>Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.</li><li>Excellent computer literacy including data entry, proofreading, and document formatting.</li><li>Strong communication skills with the ability to handle phone calls with professionalism and courtesy; bilingual abilities are a plus.</li><li>Experience with multi-line phone systems, calendar management, filing systems, and general clerical tasks such as typing and proofreading.</li><li>Familiarity with QuickBooks for bookkeeping or basic accounting is advantageous.</li><li>Exceptional time management skills to prioritize tasks effectively in a fast-paced environment.</li><li>Previous experience as a receptionist or in customer service is highly valued.
