Your proactive communication and problem-solving abilities will keep our fleet moving smoothly and efficiently, supporting our commitment to exceptional service and operationalDuties<ul><li>Coordinate and dispatch freight shipments by assigning loads to drivers based on delivery schedules, driver availability, and route optimization.</li><li>Utilize transportation management systems (TMS), including ITS Dispatch system to track shipments, update statuses, and maintain accurate data entry records.</li><li>Monitor drivers efficient routing and compliance with transportation planning standards.</li><li>Communicate effectively with drivers, warehouse staff, and clients via tracking applications, maintaining professional phone etiquette and clear messaging.</li><li>Manage shipping &amp; receiving schedules, coordinate freight pickup and delivery times, and handle any logistical issues that arise during transit.</li><li>Maintain detailed documentation of dispatch activities, including logs for freight movements, incident reports, and shift reports.</li><li>Support fleet management by tracking vehicle maintenance schedules and ensuring compliance with safety regulations.</li></ul>Qualifications<ul><li>Experience in dispatching within transportation or logistics environments.</li><li>Strong analysis skills with transportation management systems for effective decision-making.</li><li>Excellent communication skills with the ability to handle multiple tasks professionally while providing exceptional customer service.</li><li>Proficiency in data entry, typing accuracy, and using software such as ITS Dispatch Transportation Management, Excel.</li><li>Knowledge of freight shipping &amp; receiving procedures, fleet management practices, and supply chain logistics.</li><li>Familiarity with transportation planning concepts including route optimization and supply chain coordination.</li><li>Ability to work in a fast-paced environment with strong organizational skills and attention to detail. Job Overview We are looking for self-disciplined, organized, motivated, team player and multitasking Office Assistant to join our team. You will be responsible for managing daily office work, answering emails, interacting with drivers, providing administrative support, and ensuring a smooth workflow. This position requires excellent communication skills, work with various software applications, and the ability to multitask effectively.Job Duties<ul><li>Handle different office daily tasks with minimal supervision.</li><li>Manage front desk activities, including greeting visitors and handling inquiries with professionalism.</li><li>Perform data entry tasks accurately and efficiently to maintain up-to-date records.</li><li>Assist with dispatching drivers, updating orders, customer support.</li><li>Utilize QuickBooks for bookkeeping tasks as needed.</li><li>Accounts Receivable and Payable.</li><li>Support team members with administrative tasks, acting as a personal assistant when required.</li><li>Exhibit strong phone etiquette while handling incoming calls, texts, and directing them appropriately.</li><li>Work independently and achieve goals with minimum supervision.</li></ul>Experience<ul><li>Office experience or administrative background preferred.</li><li>Experience with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools, Whatsapp.</li><li>Familiarity with multi-line phone systems and excellent phone etiquette skills</li><li>Bilingual (Spanish) abilities are highly desirable to serve diverse client needs effectively</li><li>Demonstrated organizational skills with the ability to prioritize tasks efficiently and manage time effectively</li><li>Clerical experience including filing, data entry, proofreading, and document management required</li><li>Personal assistant or office management experience is advantageous but not mandatory</li><li>Knowledge of bookkeeping practices using QuickBooks or similar software is a plus</li></ul>Pay: $18.00 - $18.50 per hourWork Location: In person
