Job Summary We are seeking a proactive and detail-oriented Administrative Support Assistant specializing in Estate Planning and Taxation to join our dynamic team. In this vital role, you will provide comprehensive administrative support to estate planning professionals and tax specialists, ensuring smooth daily operations. This position offers an exciting opportunity to contribute to a professional environment dedicated to precision, efficiency, and exceptional client service.Duties<ul><li>Manage front desk responsibilities including greeting visitors, answering multi-line phone systems, and providing excellent phone etiquette.</li><li>Handle calendar management and schedule appointments for estate planning attorneys and tax specialists with efficiency and professionalism.</li><li>Perform data entry and maintain meticulous filing systems for client records, legal documents, and financial information using Microsoft Office, Google Workspace, and QuickBooks.</li><li>Assist with bookkeeping tasks such as invoicing, expense tracking, and reconciling accounts to support office management activities.</li><li>Provide customer support by responding promptly to client inquiries via phone or email, ensuring a positive experience.</li><li>Support office management through clerical duties like proofreading documents, organizing files, and managing office supplies.</li><li>Coordinate with team members on administrative projects while maintaining high levels of organization and time management.</li></ul>Requirements<ul><li>Proven office experience with strong clerical skills and familiarity with office management procedures.</li><li>Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace applications, and QuickBooks accounting software.</li><li>Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment.</li><li>Strong typing skills along with attention to detail for proofreading documents accurately.</li><li>Bilingual abilities are a plus to effectively communicate with diverse clients.</li><li>Experience handling multi-line phone systems and demonstrating excellent phone etiquette.</li><li>Knowledge of estate planning or taxation processes is desirable but not mandatory; training will be provided for the right candidate.</li><li>Personal assistant experience or calendar management skills are highly valued.
