Job Summary
We are seeking a proactive and detail-oriented Administrative Support Assistant specializing in Estate Planning and Taxation to join our dynamic team. Duties
- Manage front desk responsibilities including greeting visitors, answering multi-line phone systems, and providing excellent phone etiquette.
- Handle calendar management and schedule appointments for estate planning attorneys and tax specialists with efficiency and professionalism.
- Perform data entry and maintain meticulous filing systems for client records, legal documents, and financial information using Microsoft Office, Google Workspace, and QuickBooks.
- Assist with bookkeeping tasks such as invoicing, expense tracking, and reconciling accounts to support office management activities.
- Provide customer support by responding promptly to client inquiries via phone or email, ensuring a positive experience.
- Support office management through clerical duties like proofreading documents, organizing files, and managing office supplies.
- Coordinate with team members on administrative projects while maintaining high levels of organization and time management.
Requirements
- Proven office experience with strong clerical skills and familiarity with office management procedures.
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace applications, and QuickBooks accounting software.
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment.
- Strong typing skills along with attention to detail for proofreading documents accurately.
- Bilingual abilities are a plus to effectively communicate with diverse clients.
- Experience handling multi-line phone systems and demonstrating excellent phone etiquette.
- Knowledge of estate planning or taxation processes is desirable but not mandatory; training will be provided for the right candidate.
