Responsibilities<ul><li>Manage front desk operations, greeting visitors and directing inquiries with professionalism and courtesy</li><li>Handle multi-line phone systems efficiently, screening calls and transferring messages accurately</li><li>Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents</li><li>Perform data entry and bookkeeping tasks using QuickBooks and other accounting software</li><li>Support calendar management by scheduling appointments, meetings, and reminders for staff and executives</li><li>Assist with office management duties including supply procurement, equipment maintenance, and general administrative support</li><li>Proofread correspondence, reports, and other documents to ensure accuracy and clarity</li><li>Provide customer support via phone or email, addressing inquiries promptly and professionally</li><li>Utilize Google Workspace and Microsoft Office tools to prepare reports, presentations, and correspondence</li></ul>Experience<ul><li>Proven experience in an office environment with clerical or administrative responsibilities</li><li>Prior experience as a receptionist or personal assistant is highly desirable</li><li>Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications</li><li>Familiarity with office management systems such as QuickBooks and multi-line phone systems</li><li>Excellent organizational skills with the ability to prioritize tasks effectively</li><li>Demonstrated customer service skills with a professional phone etiquette</li></ul>This role requires a detail-oriented individual capable of multitasking in a fast-paced environment while maintaining high standards of professionalism.
