Responsibilities

  • Manage front desk operations, greeting visitors and directing inquiries with professionalism and courtesy
  • Handle multi-line phone systems efficiently, screening calls and transferring messages accurately
  • Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents
  • Perform data entry and bookkeeping tasks using QuickBooks and other accounting software
  • Support calendar management by scheduling appointments, meetings, and reminders for staff and executives
  • Assist with office management duties including supply procurement, equipment maintenance, and general administrative support
  • Proofread correspondence, reports, and other documents to ensure accuracy and clarity
  • Provide customer support via phone or email, addressing inquiries promptly and professionally
  • Utilize Google Workspace and Microsoft Office tools to prepare reports, presentations, and correspondence

Experience

  • Proven experience in an office environment with clerical or administrative responsibilities
  • Prior experience as a receptionist or personal assistant is highly desirable
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Familiarity with office management systems such as QuickBooks and multi-line phone systems
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Demonstrated customer service skills with a professional phone etiquette

Pay: From $35,000.00 per year
