Responsibilities
- Manage front desk operations, greeting visitors and directing inquiries with professionalism and courtesy
- Handle multi-line phone systems efficiently, screening calls and transferring messages accurately
- Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents
- Perform data entry and bookkeeping tasks using QuickBooks and other accounting software
- Support calendar management by scheduling appointments, meetings, and reminders for staff and executives
- Assist with office management duties including supply procurement, equipment maintenance, and general administrative support
- Proofread correspondence, reports, and other documents to ensure accuracy and clarity
- Provide customer support via phone or email, addressing inquiries promptly and professionally
- Utilize Google Workspace and Microsoft Office tools to prepare reports, presentations, and correspondence
Experience
- Proven experience in an office environment with clerical or administrative responsibilities
- Prior experience as a receptionist or personal assistant is highly desirable
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Familiarity with office management systems such as QuickBooks and multi-line phone systems
- Excellent organizational skills with the ability to prioritize tasks effectively
- Demonstrated customer service skills with a professional phone etiquette
