This paid position offers an exciting opportunity to develop your office management expertise while contributing to a positive workplace culture.Duties<ul><li>Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette</li><li>Operate multi-line phone systems to handle incoming calls efficiently, transferring or taking messages as needed</li><li>Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office applications</li><li>Perform data entry tasks with accuracy, including invoicing, record keeping, and updating client information using QuickBooks and other software</li><li>Support calendar management by scheduling appointments, meetings, and coordinating events for team members or executives</li><li>Assist with bookkeeping duties such as tracking expenses, reconciling accounts, and managing petty cash</li><li>Provide exceptional customer service by responding promptly to inquiries via phone or email and supporting client needs</li><li>Conduct proofreading of documents for accuracy and clarity before distribution or submission</li><li>Support office management tasks including supply inventory, maintaining cleanliness, and ensuring all equipment functions properly</li><li>Perform clerical duties such as copying, scanning, filing, and organizing documents efficiently</li></ul>Experience<ul><li>Proven experience in an office environment with strong clerical skills and familiarity with office management procedures</li><li>Prior experience using QuickBooks for bookkeeping or financial record-keeping preferred</li><li>Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools</li><li>Strong organizational skills with the ability to prioritize tasks effectively in a busy setting</li><li>Bilingual abilities are a plus to assist diverse client populations and team members</li><li>Experience working as a receptionist or medical/dental receptionist is advantageous</li><li>Demonstrated customer service skills with a professional demeanor and excellent phone etiquette</li><li>Familiarity with multi-line phone systems and data entry processes is highly desirable</li><li>Ability to proofread documents meticulously and maintain high attention to detail</li><li>Personal assistant or administrative support experience will be considered an asset</li></ul>Join us in creating a vibrant workplace where your organizational talents shine!
