Duties
- Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette
- Operate multi-line phone systems to handle incoming calls efficiently, transferring or taking messages as needed
- Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office applications
- Perform data entry tasks with accuracy, including invoicing, record keeping, and updating client information using QuickBooks and other software
- Support calendar management by scheduling appointments, meetings, and coordinating events for team members or executives
- Assist with bookkeeping duties such as tracking expenses, reconciling accounts, and managing petty cash
- Provide exceptional customer service by responding promptly to inquiries via phone or email and supporting client needs
- Conduct proofreading of documents for accuracy and clarity before distribution or submission
- Support office management tasks including supply inventory, maintaining cleanliness, and ensuring all equipment functions properly
- Perform clerical duties such as copying, scanning, filing, and organizing documents efficiently
Experience
- Proven experience in an office environment with strong clerical skills and familiarity with office management procedures
- Prior experience using QuickBooks for bookkeeping or financial record-keeping preferred
- Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
- Strong organizational skills with the ability to prioritize tasks effectively in a busy setting
- Bilingual abilities are a plus to assist diverse client populations and team members
- Experience working as a receptionist or medical/dental receptionist is advantageous
- Demonstrated customer service skills with a professional demeanor and excellent phone etiquette
- Familiarity with multi-line phone systems and data entry processes is highly desirable
- Ability to proofread documents meticulously and maintain high attention to detail
- Personal assistant or administrative support experience will be considered an asset
