This role ensures continuity of operations by filling in for staffing gaps, assisting during high-volume periods, and maintaining a consistent, high-quality patient experience across all assigned offices.</p><br>

This position plays a critical role in delivering welcoming, professional, and efficient patient experience in a fast-paced environment encompassing retail, lab, and optometric services.</p><br>

Essential Duties and Responsibilities</b></p><br>

Multi-Location Support</b></div>
<div>
o Travel to various clinic locations as assigned based on business needs.</div>
<div>
o Adapt quickly to different office workflows, teams, and provider preferences.</div>
<div>
o Provide front desk coverage for callouts, PTO, vacancies, or increased patient volume.</div>
<div>
o Maintain consistency in service standards and processes across all locations.</div><br>

<div><b>
Patient Scheduling and Coordination</b></div>
<div>
o Schedule, confirm, and reschedule patient appointments.</div>
<div>
o Maintain full capacity of patient scheduling to optimize provider availability.</div>
<div>
o Manage patient recalls and follow-up appointments.</div>
<div>
o Respond to incoming phone calls, voicemail messages, and patient emails.</div>
<div>
o Coordinate communication between patients, technicians, optical staff, and providers to support efficient patient flow.<br>
</div><div></div><div><b>Patient Records and Administrative Support</b></div>
<div>
o Enter and maintain accurate patient information including demographics, primary care provider information, insurance coverage, and guarantor details.</div>
<div>
o Prepare patient intake paperwork prior to appointments.</div>
<div>
o Scan and upload completed intake documents into patient charts within the electronic health record (EHR) system.</div>
<div>
o Perform filing and other clerical and administrative duties as assigned.</div>
<div>
o Assist doctors and office staff with clerical tasks when needed.</div>
<div>
 <b>Insurance Verification and Financial Processes</b></div>
<div>
o Verify and authorize vision and medical insurance benefits prior to patient visits.</div>
<div>
o Communicate insurance coverage, copays, and financial responsibility to patients when appropriate.</div>
<div>
o Ensure accurate documentation of insurance information within patient records.</div>
<div>
 <b>Patient Experience and Office Operations</b></div>
<div>
o Greet patients and visitors in a friendly, courteous, and professional manner.</div>
<div>
o Manage patient flow to support efficient and timely appointments.</div>
<div>
o Maintain a clean, organized, and welcoming front desk and reception area at all locations.</div>
<div>
o Perform pre-testing functions when directed by management or providers.</div>
<div>
o Support overall office operations to ensure a positive patient experience.</div><br>

Education and Experience</b></div>
<div>
o High school diploma or equivalent required.</div>
<div>
o Previous customer service or front desk experience required.</div>

o Experience in healthcare, optometry, or a medical office environment preferred.</div>

<div><b>Work Environment and Physical Requirements</b></div>

o Ability to travel regularly between assigned clinic locations (reliable transportation required).</div>

o Ability to sit, stand, and move throughout the office during the workday.</div>
