Job Summary Join Greater Manchester Youth Federation (GMYF)&mdash;a long-established charity running vibrant youth centres across Greater Manchester. We&rsquo;re dedicated to raising aspirations and creating opportunities for young people, especially those facing disadvantage, through exciting activities, outreach, and outdoor adventures. Our approach champions youth voice, inclusion, and building confidence and resilience. We offer outdoor education, including residentials at our own Ormside Mill site in Cumbria and other sites nationwide.Key Responsibilities&middot; Provide administrative support to Central Team and Centre Managers&middot; Coordinate meetings and events including rooms, equipment, and refreshments&middot; Support planning and delivery of organisational and centre-based events&middot; Act as point of contact for operational administration queries&middot; Maintain a professional front-of-house service&middot; Manage incoming calls and central mailbox&middot; Respond to routine enquiries and escalate complex issues&middot; Prepare documents, maintain filing systems and correspondence&middot; Support Centre Managers and Youth Work Coordinators with admin requests&middot; Log and track maintenance requests for all centres&middot; Coordinate contractors and caretaker / estates maintenance services for all centres&middot; Maintain facilities records and updates&middot; Support day-to-day estates administration&middot; Monitor stock levels of supplies and equipment at Partington Youth Centre (Melland Youth Centre once open)&middot; Raise purchase requests for all centres and liaise with Finance team&middot; Coordinate deliveries and distribution&middot; Maintain HR records: annual leave / sickness / TOIL&middot; Support onboarding and inductions&middot; Maintain DBS, safeguarding and training records&middot; Follow organization wide administrative processes and procedures&middot; Ensure consistency across centres of policies and procedures&middot; Suggest improvements to processes&middot; Build positive relationships across teamsPerson SpecificationESSENTIAL CRITERIAAt least 3 years&rsquo; experience in an administrative or business support roleStrong organisational and coordination skillsAbility to prioritise workload effectivelyStrong communication and interpersonal skillsProficient in all Microsoft 365 systemsTeam player with a collaborative mindset and strong interpersonal skillsWilling and able to travel and work from our other centresExperience of basic HR processes e.g. recruitment, contracts, record-keeping, sickness recordsDESIRABLE CRITERAExperience in a charity, education, or community settingExperience in facilities or estates administrationExperience or knowledge of Bright HR system and Worknest H&amp;S systemOther RequirementsGMYF is committed to safeguarding and promoting the welfare of children and young people; the applicant will be subject to safer recruitment checks including enhanced DBS.GMYF is an equal opportunities employer and we welcome applicants from all backgrounds.This is a UK-based post, and applicants must be living in and have the right to work in the UK.
