Job Summary We are seeking a proactive, organized, and dependable Office Assistant to support daily operations at our Elkton location. This role is essential to maintaining a smooth, efficient, and welcoming office environment. The ideal candidate is detail-oriented, professional, and comfortable managing both administrative tasks and light field responsibilities. This paid position offers an excellent opportunity to grow your office management skills while contributing to a collaborative and mission-driven team.Responsibilities<ul><li>Greet visitors and client's professionalism while managing all front desk duties.</li><li>Answer and route call on a multi-line phone system with accuracy and courtesy.</li><li>Maintain organized filing systems (physical and digital) for easy document retrieval.</li><li>Perform accurate data entry using Microsoft Office, Google Workspace, and QuickBooks.</li><li>Maintain and update clients and employees&rsquo; schedules.</li><li>Assign caregivers to clients in their homes and ensure proper service coordination.</li><li>Assist with hiring and onboarding new staff (CNA, CMT, GNA, PCA, RN, etc.)</li><li>Communicate regularly with Support Planner Agents (SPA).</li><li>Track nursing assessments and update internal systems (including Excel logs).</li><li>Manage calendars, schedule meetings, and coordinate staff/client appointments.</li><li>Support office operations including supply inventory, ordering, equipment upkeep.</li><li>Provide excellent customer service via phone or email.</li><li>Proofread documents for accuracy and proper formatting.</li><li>Complete clerical tasks such as copying, scanning, faxing, and mailing.</li><li>Prioritize tasks effectively and meet deadlines in a fast-paced environment.</li><li>Reporting directly to Management on assigned duties</li><li>Drive up to 25% of the time for client introduction, marketing, training new staff, and related tasks.</li></ul>Experience<ul><li>Previous office or administrative experience preferred (not required)</li><li>Experience with QuickBooks is a plus</li><li>Bilingual abilities are highly valued</li><li>Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace</li><li>Experience with multi-line phone systems and front desk operations</li><li>Strong typing, data entry and proofreading skills</li><li>Excellent organizational and multitasking abilities</li><li>Professional customer service skills and phone etiquette</li></ul>Requirements<ul><li>MUST DRIVE (fieldwork required)</li><li>MUST HAVE VALID 1ST AID &amp; CPR CERTIFICATION!</li><li>MUST PASS A BACKGROUND CHECK!</li><li>AVAILIABILITY- MONDAY, WEDNESDAY, &amp; FRIDAY (flexible)</li><li>Hours - 9:00 am -3:00 pm</li></ul>Why Join Us?Become part of a supportive, positive, and growth‑focused workplace where your organizational strengths truly matter.
