Job Summary
We are seeking a proactive, organized, and dependable Office Assistant to support daily operations at our Elkton location. This role is essential to maintaining a smooth, efficient, and welcoming office environment. The ideal candidate is detail-oriented, professional, and comfortable managing both administrative tasks and light field responsibilities. Responsibilities
- Greet visitors and client's professionalism while managing all front desk duties.
- Answer and route call on a multi-line phone system with accuracy and courtesy.
- Maintain organized filing systems (physical and digital) for easy document retrieval.
- Perform accurate data entry using Microsoft Office, Google Workspace, and QuickBooks.
- Maintain and update clients and employees’ schedules.
- Assign caregivers to clients in their homes and ensure proper service coordination.
- Assist with hiring and onboarding new staff (CNA, CMT, GNA, PCA, RN, etc.)
- Communicate regularly with Support Planner Agents (SPA).
- Track nursing assessments and update internal systems (including Excel logs).
- Manage calendars, schedule meetings, and coordinate staff/client appointments.
- Support office operations including supply inventory, ordering, equipment upkeep.
- Provide excellent customer service via phone or email.
- Proofread documents for accuracy and proper formatting.
- Complete clerical tasks such as copying, scanning, faxing, and mailing.
- Prioritize tasks effectively and meet deadlines in a fast-paced environment.
- Reporting directly to Management on assigned duties
- Drive up to 25% of the time for client introduction, marketing, training new staff, and related tasks.
Experience
- Previous office or administrative experience preferred (not required)
- Experience with QuickBooks is a plus
- Bilingual abilities are highly valued
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
- Experience with multi-line phone systems and front desk operations
- Strong typing, data entry and proofreading skills
- Excellent organizational and multitasking abilities
- Professional customer service skills and phone etiquette
Requirements
- MUST DRIVE (fieldwork required)
- MUST HAVE VALID 1ST AID & CPR CERTIFICATION!
- MUST PASS A BACKGROUND CHECK!
- AVAILIABILITY- MONDAY, WEDNESDAY, & FRIDAY (flexible)
- Hours - 9:00 am -3:00 pm
