Department: Executive Office Location: Doha, Qatar Employment Type: Full-timePosition OverviewThe Personal Assistant (PA) to the CEO provides high-level administrative, organizational, and operational support to ensure the smooth functioning of the CEO&rsquo;s daily activities and strategic initiatives. This role requires exceptional communication skills, strong attention to detail, professionalism, confidentiality, and the ability to manage multiple priorities in a fast-paced real estate environment.Key Responsibilities1. Executive Support<ul><li>Manage the CEO&rsquo;s calendar, appointments, and scheduling across internal and external stakeholders.</li><li>Coordinate meetings, prepare agendas, take minutes, and follow up on action items.</li><li>Handle confidential documents with integrity and strict confidentiality.</li><li>Screen and prioritize emails, calls, and communication on behalf of the CEO.</li></ul>2. Office &amp; Administrative Management<ul><li>Prepare official letters, reports, presentations, and memorandums as required by the CEO.</li><li>Organize travel arrangements, itineraries, hotel bookings, and logistics.</li><li>Maintain structured filing systems, records, and documentation.</li><li>Support coordination between departments to ensure smooth workflow and timely updates.</li></ul>3. Real Estate Operations Support<ul><li>Assist the CEO in tracking key business activities, such as sales performance, leasing updates, and property pipeline reports.</li><li>Coordinate with Sales, Leasing, Marketing, and Admin teams to gather weekly and monthly operational data.</li><li>Prepare summary reports and dashboards as requested.</li></ul>4. Communication &amp; Coordination<ul><li>Serve as the primary point of contact between the CEO and staff, clients, partners, and external stakeholders.</li><li>Liaise with VIP clients, government entities, developers, and business partners.</li><li>Draft professional correspondence, internal announcements, and executive messages.</li></ul>5. Project &amp; Task Management<ul><li>Assist in managing special projects and strategic initiatives assigned by the CEO.</li><li>Track deadlines, monitor progress, and ensure timely completion of assigned tasks.</li><li>Conduct basic research and compile information to support decision-making.</li></ul>6. Personal Assistance<ul><li>Provide personal support when required, such as managing personal appointments or administrative needs.</li><li>Handle confidential and sensitive matters with discretion and professionalism.</li></ul>Qualifications &amp; Requirements Education &amp; Experience<ul><li>Bachelor&rsquo;s degree in Business Administration, Management, or related field is preferred.</li><li>Minimum 2&ndash;3 years of experience as a Personal Assistant, Executive Assistant, or Office Manager (real estate experience preferred).</li><li>Experience in a fast-paced, high-demand executive office environment.</li></ul>Skills &amp; Competencies<ul><li>Excellent spoken and written English; Arabic is an advantage.</li><li>Strong organizational and time-management skills.</li><li>High emotional intelligence, professionalism, and discretion.</li><li>Ability to multitask, prioritize, and meet tight deadlines.</li><li>Advanced computer skills (MS Office, CRM familiarity is an advantage).</li><li>Strong interpersonal and communication skills.</li></ul>Personal Attributes<ul><li>Presentable, reliable, and detail-oriented.</li><li>Proactive with strong problem-solving abilities.</li><li>Able to work under pressure with minimal supervision.</li><li>Trustworthy and capable of handling confidential information.</li></ul>Job Type: Full-time
