In this role, your organizational skills directly support our company operations and our clients.Reports to: Becky Rea, Owner and Senior Designer, Fritz + Lloyd InteriorsResponsibilities:Administrative Operations<ul><li>Maintain and update company documents, including the Master Process document and vendor/contractor databases</li><li>Organize and maintain tidiness of the studio, boutique, and work areas</li><li>Assist in preparation &amp; set-up for client meetings, vendor visits, team meetings &amp; lunches</li><li>Lead in weekly, monthly, quarterly planning for the studio</li><li>Schedule vendor meetings, vendor appointments, and Lunch &amp; Learns</li><li>Complete subcontractor agreements accurately and on time</li><li>Coordinate and order studio supplies as needed</li><li>Create travel itineraries and coordinate Market trips</li><li>Communicate with IT vendor regarding technical needs and issues</li><li>Schedule employee performance check-ins, staff meetings, and team appreciation events</li><li>Ensure company policies and procedures are consistently applied</li><li>Assist the owner with special projects as requested</li><li>Handle additional duties as needed</li></ul>Client Support<ul><li>Serve as the first point of contact for potential clients, convert to new client status with approval, and assist with onboarding</li><li>Prepare and email Letters of Agreement for new clients and updates for existing clients</li><li>Schedule client meetings</li><li>Maintain client database for projects, mailings, and gifts</li><li>Coordinate and procure client thank-you and referral gifts</li><li>Manage client offboarding processes, including requesting and organizing testimonials and reviews</li><li>Plan and execute client appreciation events</li><li>Assist with boutique sales, if needed</li><li>Handle additional duties as needed</li></ul>Marketing &amp; Social Media<ul><li>Post updates and photos to company social media accounts regularly</li><li>Suggest marketing and newsletter topics within strategic guidelines provided</li><li>Send email newsletters regularly</li><li>Coordinate with marketing consultants and vendors to update and maintain client handouts and postcards</li><li>Complete basic website updates as needed</li><li>Update and maintain email/newsletter contact lists</li><li>Keep Google business information current</li><li>Manage and restock company merchandise in connection with promotions</li><li>Handle additional duties as needed</li></ul>Required Skills &amp; Abilities:Communication &amp; Client Care<ul><li>Excellent written and verbal communication skills</li><li>Professional, welcoming, and inclusive approach with staff and clients</li></ul>Organization &amp; Operations<ul><li>Strong organizational and time management skills</li><li>Ability to plan, take initiative, and adapt to shifting priorities</li><li>Problem-solving mindset with attention to detail</li><li>Ability to maintain confidentiality</li></ul>Technology<ul><li>Willingness to learn new platforms with strong technology acumen</li><li>Proficiency in:</li><li>Google Suite</li><li>Microsoft Suite</li><li>Adobe Acrobat</li></ul>Education &amp; Experience<ul><li>Minimum of three years prior office management experience required</li><li>Bachelor&rsquo;s degree or equivalent work experience strongly preferred</li><li>Customer service experience highly desired</li></ul>Compensation &amp; Hours<ul><li>Starting compensation: $19.00&ndash;$22.00 per hour, based on experience</li><li>Annual increases based on performance criteria</li><li>Schedule: Monday&ndash;Friday, average 30 hours per week</li><li>Flexibility to occasionally increase hours based on workload or studio needs</li></ul>Physical Requirements<ul><li>Prolonged periods sitting at a desk and working on a computer</li><li>Ability to lift up to 15 pounds at a time</li></ul>Job Type: Part-timePay: $19.00 - $22.00 per hourExpected hours: 30 per weekExperience:<ul><li>Google Docs: 1 year (Preferred)</li><li>Customer service: 1 year (Preferred)</li><li>Administrative experience: 1 year (Preferred)</li></ul>Ability to Commute:<ul><li>Lincoln, NE 68516 (Preferred)</li></ul>Ability to Relocate:<ul><li>Lincoln, NE 68516: Relocate before starting work (Preferred)</li></ul>Work Location: In person
