Job Summary

The Office Manager plays a key role in keeping our design studio running smoothly and professionally. This position blends three areas of responsibility: administrative operations, client experience, and marketing/social media support. The ideal candidate is highly organized, proactive, and eager to contribute to a collaborative, design-focused environment where creativity and professionalism go hand in hand.

Reports to: Becky Rea, Owner and Senior Designer, Fritz + Lloyd Interiors

Responsibilities:

Administrative Operations

  • Maintain and update company documents, including the Master Process document and vendor/contractor databases
  • Organize and maintain tidiness of the studio, boutique, and work areas
  • Assist in preparation & set-up for client meetings, vendor visits, team meetings & lunches
  • Lead in weekly, monthly, quarterly planning for the studio
  • Schedule vendor meetings, vendor appointments, and Lunch & Learns
  • Complete subcontractor agreements accurately and on time
  • Coordinate and order studio supplies as needed
  • Create travel itineraries and coordinate Market trips
  • Communicate with IT vendor regarding technical needs and issues
  • Schedule employee performance check-ins, staff meetings, and team appreciation events
  • Ensure company policies and procedures are consistently applied
  • Assist the owner with special projects as requested
  • Handle additional duties as needed

Client Support

  • Serve as the first point of contact for potential clients, convert to new client status with approval, and assist with onboarding
  • Prepare and email Letters of Agreement for new clients and updates for existing clients
  • Schedule client meetings
  • Maintain client database for projects, mailings, and gifts
  • Coordinate and procure client thank-you and referral gifts
  • Manage client offboarding processes, including requesting and organizing testimonials and reviews
  • Plan and execute client appreciation events
  • Assist with boutique sales, if needed
  • Handle additional duties as needed

Marketing & Social Media

  • Post updates and photos to company social media accounts regularly
  • Suggest marketing and newsletter topics within strategic guidelines provided
  • Send email newsletters regularly
  • Coordinate with marketing consultants and vendors to update and maintain client handouts and postcards
  • Complete basic website updates as needed
  • Update and maintain email/newsletter contact lists
  • Keep Google business information current
  • Manage and restock company merchandise in connection with promotions
  • Handle additional duties as needed

Education & Experience

  • Minimum of three years prior office management experience required
  • Bachelor’s degree or equivalent work experience strongly preferred
  • Customer service experience highly desired

Compensation & Hours

  • Starting compensation: $19.00–$22.00 per hour, based on experience
  • Annual increases based on performance criteria
  • Schedule: Monday–Friday, average 30 hours per week
  • Flexibility to occasionally increase hours based on workload or studio needs

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer
  • Ability to lift up to 15 pounds at a time

Job Type: Part-time

Pay: $19.00 - $22.00 per hour

Expected hours: 30 per week

Experience:

  • Google Docs: 1 year (Preferred)
  • Customer service: 1 year (Preferred)
  • Administrative experience: 1 year (Preferred)

Ability to Commute:

  • Lincoln, NE 68516 (Preferred)

Ability to Relocate:

  • Lincoln, NE 68516: Relocate before starting work (Preferred)
