Duties & Responsibilities
Greets and assists visitors and staff in a professional and courteous manner.
Answers, screens and directs incoming calls promptly.
Monitors and guides visitors following safety and security procedures.
Answers questions and provides information in person, via phone or email.
Manages incoming and outgoing mail, packages and deliveries.
Manages districtwide online facilities scheduling requests utilizing the School Dude software platform.
Obtains insurance certificates, setup billing, manage user accounts and train new users on the School Dude software.
Provides administrative support to the Communications & Community Relations Department and other Departments as needed.
Assists with office supply inventory and order management.
Supports special projects and district initiatives as assigned.
All other duties as assigned.
Physical Requirements
Ability to sit for extended periods at a desk or reception area.
Frequent use of hands, fingers, and wrists for typing, writing and operating office equipment.
Clear speech and hearing for answering phones, greeting visitors, and communicating effectively in person or electronically.
Lift, carry, or move items such as office supplies, packages or files (up to 20 pounds).
Walk or stand to greet visitors, escort them or access office equipment.
Good attendance and punctuality are required.
Work Environment
Works at the district’s central office reception area to serve as the first point of contact for visitors and callers.
Frequent contact with employees, students, families and visitors; requires a friendly, professional demeanor at all times.
Fast paced environment with multiple interruptions, phone calls, and walk-in inquiries occurring simultaneously.
Must be self motivated and able to complete work without direct supervision.
Minimum Requirements
High school diploma or equivalent required.
Prior experience in a receptionist, customer service, or administrative support role.
Proficient with computers, office software (Microsoft Office, Google Workspace), and phone systems.
Strong verbal and written communication skills.
Preferred Qualifications
Additional coursework or certification in office administration, business, or related field.
Associates degree or certificate in office administration.
Previous experience in customer service.
