This position offers an exciting opportunity to contribute to a vibrant work environment while honing your organizational and clerical skills.Responsibilities<ul><li>Greet visitors at the front desk with professionalism and warmth, ensuring a positive first impression.</li><li>Manage multi-line phone systems, screen calls, and direct inquiries to appropriate team members with courtesy and efficiency.</li><li>Handle calendar management, scheduling appointments, meetings, and conference rooms using digital tools like Google Workspace or Microsoft Office.</li><li>Perform data entry and maintain accurate filing systems&mdash;both digital and physical&mdash;to ensure easy retrieval of documents.</li><li>Assist with bookkeeping tasks using QuickBooks or similar accounting software, including invoicing and expense tracking.</li><li>Support office management duties such as ordering supplies, maintaining inventory, and coordinating repairs or maintenance.</li><li>Provide exceptional customer service by responding promptly to inquiries via phone, email, or in person while maintaining professional phone etiquette.</li><li>Proofread documents for accuracy and clarity to uphold high-quality standards in all communications.</li><li>Support personal assistant tasks such as travel arrangements, calendar updates, and correspondence management as needed.</li></ul>Skills<ul><li>Proven experience in office management or administrative roles with strong clerical skills.</li><li>Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry tools.</li><li>Familiarity with QuickBooks for bookkeeping and basic accounting tasks is highly desirable.</li><li>Strong organizational skills with the ability to multitask efficiently in a fast-paced environment.</li><li>Exceptional phone etiquette and customer service skills; bilingual abilities are a plus for serving diverse clients or visitors.</li><li>Experience handling multi-line phone systems and managing front desk operations confidently.</li><li>Attention to detail for proofreading documents, managing schedules, and maintaining accurate records.</li><li>Effective time management skills to prioritize tasks effectively throughout the workday.</li><li>Previous office experience including filing, data entry, and general administrative support is preferred.
