Responsibilities
- Greet visitors at the front desk with professionalism and warmth, ensuring a positive first impression.
- Manage multi-line phone systems, screen calls, and direct inquiries to appropriate team members with courtesy and efficiency.
- Handle calendar management, scheduling appointments, meetings, and conference rooms using digital tools like Google Workspace or Microsoft Office.
- Perform data entry and maintain accurate filing systems—both digital and physical—to ensure easy retrieval of documents.
- Assist with bookkeeping tasks using QuickBooks or similar accounting software, including invoicing and expense tracking.
- Support office management duties such as ordering supplies, maintaining inventory, and coordinating repairs or maintenance.
- Provide exceptional customer service by responding promptly to inquiries via phone, email, or in person while maintaining professional phone etiquette.
- Proofread documents for accuracy and clarity to uphold high-quality standards in all communications.
- Support personal assistant tasks such as travel arrangements, calendar updates, and correspondence management as needed.
Skills
- Proven experience in office management or administrative roles with strong clerical skills.
- Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry tools.
- Familiarity with QuickBooks for bookkeeping and basic accounting tasks is highly desirable.
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment.
- Exceptional phone etiquette and customer service skills; bilingual abilities are a plus for serving diverse clients or visitors.
- Experience handling multi-line phone systems and managing front desk operations confidently.
- Attention to detail for proofreading documents, managing schedules, and maintaining accurate records.
- Effective time management skills to prioritize tasks effectively throughout the workday.
- Previous office experience including filing, data entry, and general administrative support is preferred.
