Position Summary The Accounting Manager is a hands-on finance and accounting leader responsible for establishing and maintaining financial clarity, ensuring clean, timely books, and building the financial rhythms and systems that give Geo-Sci confidence in its decisions.This role supports the Business Owner and Leadership Team, by owning core accounting execution (AP/AR/payroll/close), elevating the quality and timeliness of reporting, and driving practical automation across the full lifecycle&mdash;from field activity and order capture through invoicing, collection, and payment.This role is ideal for a detail-oriented, systems-minded professional who thrives on getting the fundamentals right, keeps the financial house in order, and steadily reduces manual work through better processes and technology.Key Responsibilities Accounting, Tax &amp; Compliance<ul><li>Own general ledger accuracy, coding discipline, and documentation standards.</li><li>Execute month-end and year-end close with a repeatable cadence and clear deadlines.</li><li>Reconcile bank and credit card accounts monthly; ensure the balance sheet is accurate and trusted.</li><li>Manage accounts payable and accounts receivable end-to-end:</li><li>Vendor setup, invoice review, approvals, and timely payments</li><li>Customer invoicing support, collections follow-up, and AR hygiene</li><li>Maintain and regularly review AR aging (0&ndash;30 / 31&ndash;60 / 61&ndash;90 / 90+) with escalation plans</li><li>Administer payroll processing and ensure payroll entries reconcile to bank activity.</li><li>Identify and resolve discrepancies between ADP exports, QuickBooks journal entries, and bank debits</li><li>Maintain accounting policies, internal controls, and audit readiness.</li><li>Support tax preparation, filings, and coordination with external CPAs; ensure deliverables are on time.</li><li>Maintain and periodically review legacy and stale receivables; support write-off recommendations with documentation.</li><li>Maintain accounting policies, internal controls, and audit readiness.</li><li>Support tax preparation, filings, and coordination with external CPAs; ensure deliverables are on time.</li><li>Maintain and periodically review legacy and stale receivables; support write-off recommendations with documentation.</li></ul>Cash Management<ul><li>Monitor daily cash balances and cash flow activity.</li><li>Support short-term cash forecasting and working capital planning.</li><li>Ensure timely vendor payments while protecting liquidity and financial stability.</li><li>Coordinate with banking partners as directed.</li></ul>Financial Reporting, Margin &amp; Profit Analysis<ul><li>Prepare internal financial reports, schedules, and management dashboards.</li><li>Support budgeting, forecasting, and variance analysis.</li><li>Track project-level costs, billing, and margins to support profitability analysis.</li><li>Identify trends, risks, and improvement opportunities related to margins and financial performance.</li></ul>Technology, Systems &amp; Automation<ul><li>Support and continuously improve financial and operational systems from order initiation through invoicing and payment.</li><li>Maintain accuracy and integration between accounting, billing, payroll, and operational systems.</li><li>Identify opportunities for automation and process improvement that reduce manual effort and errors.</li><li>Partner with leadership and vendors to implement tools that improve visibility, efficiency, and data integrity.</li></ul>Strengths &amp; Expertise<ul><li>Strong accounting foundation with high attention to detail and pride in accuracy</li><li>Proven ability to get books current and keep them current (disciplined monthly close)</li><li>Cash- and collections-minded: understands that AR aging drives business health</li><li>Systems thinker who simplifies workflows and reduces manual entry</li></ul>Priorities<ul><li>Margin &amp; profitability (project-level costs, billing accuracy, early flags)</li><li>Less manual work (automation and systems that remove busywork from the order-to-cash process)</li></ul>Qualifications<ul><li>Bachelor&rsquo;s degree in Accounting or Finance required (CPA/CMA track is a plus)</li><li>3&ndash;6 years of progressive accounting experience (public accounting and/or project-based environments strongly preferred)</li><li>Experience with payroll processing and AP/AR management</li><li>Proficiency with accounting software and Excel.
