Job Summary We are seeking a dynamic and highly organized Administrative Assistant to join our team! If you thrive in a fast-paced environment and are eager to contribute to a collaborative team, this position is perfect for you!Duties<ul><li>Manage front desk responsibilities, including greeting visitors and directing them appropriately</li><li>Operate multi-line phone systems with professionalism, demonstrating excellent phone etiquette and customer support skills</li><li>Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks accounting software</li><li>Handle filing, document proofreading, and organize office supplies to ensure an efficient workspace</li><li>Assist with payroll processing</li><li>Data entry into Openticket / OpenInvoice</li><li>Assist with calendar management, scheduling appointments, and coordinating meetings for staff and executives</li><li>Support office management tasks such as bookkeeping, invoice processing, and basic bookkeeping duties</li><li>Provide clerical support including typing correspondence, preparing reports, and managing incoming/outgoing mail</li></ul>Qualifications<ul><li>Proven office experience with strong organizational skills and attention to detail</li><li>Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools</li><li>Experience with QuickBooks or similar accounting software is preferred</li><li>Experience with Openticket and OpenInvoice</li><li>Excellent communication skills in both English and bilingual capabilities are a plus</li><li>Demonstrated ability to handle multi-line phone systems and maintain professional phone etiquette</li><li>Strong computer literacy with the ability to perform data entry, filing, proofreading, and general clerical tasks efficiently</li><li>Bilingual</li><li>Excellent multitasking skills</li><li>Exceptional time management skills with the ability to prioritize tasks effectively</li></ul>Join us in creating a vibrant office environment where your organizational talents make a real difference!
