Administrative Assistant

Job Summary
We are seeking a dynamic and highly organized Administrative Assistant to join our team! Duties

  • Manage front desk responsibilities, including greeting visitors and directing them appropriately
  • Operate multi-line phone systems with professionalism, demonstrating excellent phone etiquette and customer support skills
  • Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks accounting software
  • Handle filing, document proofreading, and organize office supplies to ensure an efficient workspace
  • Assist with payroll processing
  • Data entry into Openticket / OpenInvoice
  • Assist with calendar management, scheduling appointments, and coordinating meetings for staff and executives
  • Support office management tasks such as bookkeeping, invoice processing, and basic bookkeeping duties
  • Provide clerical support including typing correspondence, preparing reports, and managing incoming/outgoing mail

Qualifications

  • Proven office experience with strong organizational skills and attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
  • Experience with QuickBooks or similar accounting software is preferred
  • Experience with Openticket and OpenInvoice
  • Excellent communication skills in both English and bilingual capabilities are a plus
  • Demonstrated ability to handle multi-line phone systems and maintain professional phone etiquette
  • Strong computer literacy with the ability to perform data entry, filing, proofreading, and general clerical tasks efficiently
  • Bilingual
  • Excellent multitasking skills
  • Exceptional time management skills with the ability to prioritize tasks effectively
