Purchasing Manager &amp; BookkeeperLocation: Scottsdale, AZ - Hybrid; in-person and remoteReports to: Chief Operating OfficerCompany: Guided Home DesignPosition Type: Full-Time, Salaried with BenefitsJob Description:Guided Home Design is seeking an experienced, detail-driven Purchasing Manager &amp; Bookkeeper to oversee purchasing operations, vendor relations, and client account management. This pivotal role ensures that every design project runs smoothly&mdash;from initial order through final delivery&mdash;while maintaining the accuracy and integrity of our financial systems.The ideal candidate is highly organized, responsive and proactive with extensive hands-on experience with Studio Designer. They excel in communication, thrive on precision, and bring a strong understanding of how purchasing and accounting integrate within an Interior Design environment.Key Responsibilities:Purchasing &amp; Procurement&#9679; Manage the full purchasing lifecycle for all design projects, including proposal assistance, order placement, tracking, and delivery coordination.&#9679; Proactively obtain and compare vendor quotes to ensure competitive pricing.&#9679; Negotiate pricing, freight, and shipping terms to achieve optimal cost and efficiency.&#9679; Establish and maintain vendor accounts, monitor account status, and foster strong rep relationships.&#9679; Maintain accurate purchasing documentation and project records in Studio Designer, building custom reports as needed.&#9679; Communicate order status and delivery updates clearly and promptly to the design team and clients.&#9679; Manage freight logistics, damage claims, and replacements with efficiency and professionalism.&#9679; Coordinate and schedule in-home deliveries in collaboration with clients and trade partners.Bookkeeping &amp; Financial Administration:&#9679; Accurately record client deposits, payments, and vendor bills in Studio Designer.&#9679; Ensure all projects are properly invoiced, reconciled, and closed upon completion.&#9679; Review and reconcile bank transactions, vendor statements, and project budgets on a weekly basis.&#9679; Support monthly billing cycles and assist with client collections.&#9679; Maintain compliance with internal accounting processes to promote clean, timely record-keeping and support with financial reporting.&#9679; Tracking billable time for client projectsQualifications:&#9679; 5+ years of experience in purchasing, bookkeeping, or operations&mdash;strongly preferred within the interior design, architecture, or luxury furnishings industry.&#9679; Proficiency in Studio Designer (required).&#9679; Demonstrated success managing multiple projects and deadlines in a fast-paced, detail-oriented environment.&#9679; Strong written and verbal communication skills, with a responsive and professional client-service approach.&#9679; Exceptional attention to detail, accuracy, and follow-through.&#9679; Proactive problem solver who can anticipate needs and maintain a high level of organization.Why Join Guided Home Design?At Guided Home Design, we craft interiors that tell a story&mdash;elevated, thoughtful, and deeply personal.
