Purchasing Manager & Bookkeeper

Location: Scottsdale, AZ - Hybrid; in-person and remote

Job Description:

Guided Home Design is seeking an experienced, detail-driven Purchasing Manager & Bookkeeper to oversee purchasing operations, vendor relations, and client account management. This pivotal role ensures that every design project runs smoothly—from initial order through final delivery—while maintaining the accuracy and integrity of our financial systems.

The ideal candidate is highly organized, responsive and proactive with extensive hands-on experience with Studio Designer. They excel in communication, thrive on precision, and bring a strong understanding of how purchasing and accounting integrate within an Interior Design environment.

Key Responsibilities:

Purchasing & Procurement

● Manage the full purchasing lifecycle for all design projects, including proposal assistance, order placement, tracking, and delivery coordination.

● Proactively obtain and compare vendor quotes to ensure competitive pricing.

● Negotiate pricing, freight, and shipping terms to achieve optimal cost and efficiency.

● Establish and maintain vendor accounts, monitor account status, and foster strong rep relationships.

● Maintain accurate purchasing documentation and project records in Studio Designer, building custom reports as needed.

● Communicate order status and delivery updates clearly and promptly to the design team and clients.

● Manage freight logistics, damage claims, and replacements with efficiency and professionalism.

● Coordinate and schedule in-home deliveries in collaboration with clients and trade partners.

Bookkeeping & Financial Administration:

● Accurately record client deposits, payments, and vendor bills in Studio Designer.

● Ensure all projects are properly invoiced, reconciled, and closed upon completion.

● Review and reconcile bank transactions, vendor statements, and project budgets on a weekly basis.

● Support monthly billing cycles and assist with client collections.

● Maintain compliance with internal accounting processes to promote clean, timely record-keeping and support with financial reporting.

● Tracking billable time for client projects

Qualifications:

● 5+ years of experience in purchasing, bookkeeping, or operations—strongly preferred within the interior design, architecture, or luxury furnishings industry.

● Proficiency in Studio Designer (required).

● Demonstrated success managing multiple projects and deadlines in a fast-paced, detail-oriented environment.

● Strong written and verbal communication skills, with a responsive and professional client-service approach.

● Exceptional attention to detail, accuracy, and follow-through.

● Proactive problem solver who can anticipate needs and maintain a high level of organization.
