Overview We are seeking a dynamic and detail-oriented Receptionist/Administrative Assistant to join our team! This paid position offers an exciting opportunity to contribute to a vibrant work environment while developing valuable office management skills.Duties<ul><li>Greet visitors and clients warmly, providing outstanding customer service and ensuring a positive first impression</li><li>Manage multi-line phone systems efficiently, directing calls accurately and professionally using proper phone etiquette</li><li>Handle front desk operations, including scheduling appointments, maintaining the reception area, and managing incoming inquiries</li><li>Perform data entry and maintain organized filing systems using Microsoft Office, Google Workspace, and other office software</li><li>Assist with calendar management and coordinate meetings for staff and executives</li><li>Support office management tasks such as ordering supplies, maintaining inventory, and overseeing general administrative functions</li><li>Conduct basic bookkeeping using QuickBooks or similar accounting software to support financial recordkeeping</li><li>Proofread documents for accuracy and clarity before distribution, ensuring high-quality communication</li><li>Provide clerical support including photocopying, scanning, faxing, and preparing reports or presentations as needed</li></ul>Qualifications<ul><li>Proven experience in office administration or clerical roles, ideally within a healthcare or professional services environment such as dental or medical offices</li><li>Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills</li><li>Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting</li><li>Exceptional customer service skills combined with professional phone etiquette for handling inquiries via multi-line phone systems</li><li>Bilingual abilities are a plus to serve diverse client needs effectively</li><li>Experience with office management tools like calendar management software and bookkeeping programs such as QuickBooks is preferred</li><li>Ability to maintain confidentiality and demonstrate strong attention to detail in proofreading and document handling</li><li>Personal assistant experience or familiarity with medical/dental receptionist duties including appointment scheduling and patient communication is advantageous</li></ul>Join us in creating a welcoming environment where efficiency meets exceptional service!
