We are seeking a dynamic and detail-oriented Receptionist/Administrative Assistant to join our team! Duties
- Greet visitors and clients warmly, providing outstanding customer service and ensuring a positive first impression
- Manage multi-line phone systems efficiently, directing calls accurately and professionally using proper phone etiquette
- Handle front desk operations, including scheduling appointments, maintaining the reception area, and managing incoming inquiries
- Perform data entry and maintain organized filing systems using Microsoft Office, Google Workspace, and other office software
- Assist with calendar management and coordinate meetings for staff and executives
- Support office management tasks such as ordering supplies, maintaining inventory, and overseeing general administrative functions
- Conduct basic bookkeeping using QuickBooks or similar accounting software to support financial recordkeeping
- Proofread documents for accuracy and clarity before distribution, ensuring high-quality communication
- Provide clerical support including photocopying, scanning, faxing, and preparing reports or presentations as needed
Qualifications
- Proven experience in office administration or clerical roles, ideally within a healthcare or professional services environment such as dental or medical offices
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting
- Exceptional customer service skills combined with professional phone etiquette for handling inquiries via multi-line phone systems
- Bilingual abilities are a plus to serve diverse client needs effectively
- Experience with office management tools like calendar management software and bookkeeping programs such as QuickBooks is preferred
- Ability to maintain confidentiality and demonstrate strong attention to detail in proofreading and document handling
- Personal assistant experience or familiarity with medical/dental receptionist duties including appointment scheduling and patient communication is advantageous
