From managing schedules to handling correspondence, your proactive attitude will keep our office running seamlessly and contribute to our overall success.&lt;Duties&gt;<ul><li>Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette</li><li>Operate multi-line phone systems, answer inquiries promptly, and route calls efficiently using excellent communication skills</li><li>Maintain organized filing systems, including digital files via Google Workspace and Microsoft Office applications, ensuring quick retrieval of documents</li><li>Perform data entry tasks with accuracy, including invoicing, record keeping, and updating client information using QuickBooks or similar accounting software</li><li>Support calendar management by scheduling appointments, meetings, and coordinating personal assistant tasks for executives or team members</li><li>Handle clerical duties such as proofreading correspondence, preparing reports, and managing office supplies inventory</li><li>Provide customer support by addressing inquiries with professionalism and courtesy, ensuring a positive experience for clients and visitors</li><li>Assist with bookkeeping tasks as needed, including expense tracking and financial record organization</li><li>Support office management activities to improve workflow efficiency and maintain a productive work environment</li></ul>&lt;Qualifications&gt;<ul><li>Proven office experience with strong organizational skills and attention to detail</li><li>Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools</li><li>Familiarity with QuickBooks or other bookkeeping/accounting software is preferred</li><li>Excellent phone etiquette with experience managing multi-line phone systems</li><li>Bilingual abilities are a plus to serve diverse clients effectively</li><li>Strong typing skills and computer literacy to handle data entry and document proofreading accurately</li><li>Previous clerical or administrative experience in a professional setting is highly desirable</li><li>Ability to manage time effectively while juggling multiple responsibilities in a fast-paced environment</li><li>Experience in customer service roles demonstrating excellent interpersonal skills</li><li>Knowledge of office management procedures including filing systems, calendar management, and supply ordering</li><li>Personal assistant or medical/dental receptionist experience is advantageous but not required</li></ul>Join us in creating an organized, efficient workplace where your skills make a real difference!
