Administrative Assistant

<Job Summary>
We are seeking a dynamic and highly organized Administrative Assistant to join our team! <Duties>

  • Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette
  • Operate multi-line phone systems, answer inquiries promptly, and route calls efficiently using excellent communication skills
  • Maintain organized filing systems, including digital files via Google Workspace and Microsoft Office applications, ensuring quick retrieval of documents
  • Perform data entry tasks with accuracy, including invoicing, record keeping, and updating client information using QuickBooks or similar accounting software
  • Support calendar management by scheduling appointments, meetings, and coordinating personal assistant tasks for executives or team members
  • Handle clerical duties such as proofreading correspondence, preparing reports, and managing office supplies inventory
  • Provide customer support by addressing inquiries with professionalism and courtesy, ensuring a positive experience for clients and visitors
  • Assist with bookkeeping tasks as needed, including expense tracking and financial record organization
  • Support office management activities to improve workflow efficiency and maintain a productive work environment

<Qualifications>

  • Proven office experience with strong organizational skills and attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Familiarity with QuickBooks or other bookkeeping/accounting software is preferred
  • Excellent phone etiquette with experience managing multi-line phone systems
  • Bilingual abilities are a plus to serve diverse clients effectively
  • Strong typing skills and computer literacy to handle data entry and document proofreading accurately
  • Previous clerical or administrative experience in a professional setting is highly desirable
  • Ability to manage time effectively while juggling multiple responsibilities in a fast-paced environment
  • Experience in customer service roles demonstrating excellent interpersonal skills
  • Knowledge of office management procedures including filing systems, calendar management, and supply ordering
  • Personal assistant or medical/dental receptionist experience is advantageous but not required
