Job Summary We are seeking a dynamic and organized Secretary/Receptionist to be the welcoming face of our office. This paid position offers an exciting opportunity to contribute to a professional environment where your organizational skills and positive attitude make a real difference.Duties<ul><li>Detail orientated and organized.</li><li>Manage multi-line phone systems, answer inquiries promptly, and direct calls appropriately using proper phone etiquette.</li><li>Handle front desk operations including scheduling appointments, maintaining calendars, and managing incoming correspondence.</li><li>Perform data entry, filing, and document proofreading to ensure accuracy and organization of records.</li><li>Utilize office management software such as Microsoft Office, Google Workspace, QuickBooks, and other tools to support administrative functions.</li><li>Support bookkeeping tasks, including basic bookkeeping and invoice processing when needed.</li><li>Assist with clerical duties such as photocopying, faxing, mailing, and maintaining office supplies inventory.</li><li>Provide customer support by addressing inquiries professionally and efficiently, ensuring excellent service at all times.</li><li>Coordinate calendar management for staff or executives and assist with personal assistant duties as required.</li><li>Maintain a clean and organized reception area while adhering to confidentiality protocols.</li></ul>Skills<ul><li>Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.</li><li>Experience with multi-line phone systems and excellent phone etiquette skills.</li><li>Bilingual abilities are highly desirable to serve diverse client needs effectively.</li><li>Demonstrated office management experience with strong organizational skills and attention to detail.</li><li>Proven clerical experience including data entry, filing, proofreading, and document management.</li><li>Excellent customer service skills combined with professional communication abilities.</li><li>Ability to multitask efficiently while managing time effectively in a fast-paced environment.</li><li>Familiarity with QuickBooks or bookkeeping software is a plus for handling financial tasks.</li><li>Previous experience as a medical or dental receptionist is advantageous but not required; relevant administrative experience is essential.</li><li>Personal assistant or calendar management experience will be valued in supporting executive schedules.
