Secretary/Receptionist

Job Summary
We are seeking a dynamic and organized Secretary/Receptionist to be the welcoming face of our office. Duties

  • Detail orientated and organized.
  • Manage multi-line phone systems, answer inquiries promptly, and direct calls appropriately using proper phone etiquette.
  • Handle front desk operations including scheduling appointments, maintaining calendars, and managing incoming correspondence.
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization of records.
  • Utilize office management software such as Microsoft Office, Google Workspace, QuickBooks, and other tools to support administrative functions.
  • Support bookkeeping tasks, including basic bookkeeping and invoice processing when needed.
  • Assist with clerical duties such as photocopying, faxing, mailing, and maintaining office supplies inventory.
  • Provide customer support by addressing inquiries professionally and efficiently, ensuring excellent service at all times.
  • Coordinate calendar management for staff or executives and assist with personal assistant duties as required.
  • Maintain a clean and organized reception area while adhering to confidentiality protocols.

Skills

  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Experience with multi-line phone systems and excellent phone etiquette skills.
  • Bilingual abilities are highly desirable to serve diverse client needs effectively.
  • Demonstrated office management experience with strong organizational skills and attention to detail.
  • Proven clerical experience including data entry, filing, proofreading, and document management.
  • Excellent customer service skills combined with professional communication abilities.
  • Ability to multitask efficiently while managing time effectively in a fast-paced environment.
  • Familiarity with QuickBooks or bookkeeping software is a plus for handling financial tasks.
  • Previous experience as a medical or dental receptionist is advantageous but not required; relevant administrative experience is essential.

Pay: $20.00 - $25.00 per hour
