This paid position offers an exciting opportunity to develop your office management and administrative skills within a supportive team.Responsibilities<ul><li>Greet visitors warmly and direct them appropriately, ensuring a positive first impression.</li><li>Manage multi-line phone systems, screen calls, and relay messages efficiently with excellent phone etiquette.</li><li>Maintain the front desk area, ensuring it is tidy, organized, and welcoming at all times.</li><li>Handle data entry tasks such as filing, document proofreading, and updating records using Microsoft Office and Google Workspace tools.</li><li>Assist with calendar management, appointment scheduling, and basic office management duties to support team operations.</li><li>Provide customer service support by answering inquiries promptly and professionally via phone or email.</li><li>Support clerical tasks including photocopying, faxing, mailing, and maintaining office supplies inventory.</li></ul>Requirements<ul><li>Proven office experience or clerical experience with strong organizational skills.</li><li>Proficiency in computer literacy including Microsoft Office (Word, Excel), Google Workspace, and data entry skills.</li><li>Experience with multi-line phone systems and excellent phone etiquette.</li><li>Bilingual abilities are highly desirable to serve diverse client needs effectively.</li><li>Strong attention to detail for proofreading documents and managing schedules accurately.</li><li>Exceptional time management skills to prioritize tasks efficiently in a fast-paced environment.</li><li>Previous experience as a dental or medical receptionist is a plus; personal assistant experience is also valued.</li><li>Knowledge of QuickBooks or bookkeeping experience is advantageous for handling basic financial tasks.
