Job Summary
We are seeking a dynamic and organized Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer support. Responsibilities

  • Greet visitors warmly and direct them appropriately, ensuring a positive first impression.
  • Manage multi-line phone systems, screen calls, and relay messages efficiently with excellent phone etiquette.
  • Maintain the front desk area, ensuring it is tidy, organized, and welcoming at all times.
  • Handle data entry tasks such as filing, document proofreading, and updating records using Microsoft Office and Google Workspace tools.
  • Assist with calendar management, appointment scheduling, and basic office management duties to support team operations.
  • Provide customer service support by answering inquiries promptly and professionally via phone or email.
  • Support clerical tasks including photocopying, faxing, mailing, and maintaining office supplies inventory.

Requirements

  • Proven office experience or clerical experience with strong organizational skills.
  • Proficiency in computer literacy including Microsoft Office (Word, Excel), Google Workspace, and data entry skills.
  • Experience with multi-line phone systems and excellent phone etiquette.
  • Bilingual abilities are highly desirable to serve diverse client needs effectively.
  • Strong attention to detail for proofreading documents and managing schedules accurately.
  • Exceptional time management skills to prioritize tasks efficiently in a fast-paced environment.
  • Previous experience as a dental or medical receptionist is a plus; personal assistant experience is also valued.
