As a growing company, we are seeking an Operations Assistant to join our talented team.Job Summary: Taskaler is seeking a proactive and detail-oriented Operations Assistant to support the daily operations, cross-departmental coordination, and strategic planning. The ideal candidate will be an organized multitasker with strong communication, analytical, and problem-solving skills, capable of handling dynamic business requirements effectively.Key Responsibilities:Purchase Order (PO) Management:<ul><li>Create, issue, and track purchase orders for all supply chain categories, including raw materials, packaging, consumables (e.g., cups), coffee beans, and equipment (e.g., coffee machines).</li><li>Ensure POs are accurately aligned with forecasts, budgets, and internal requirements.</li><li>Maintain PO logs and status reports for visibility and updates to internal stakeholders.</li></ul>Supplier Coordination:<ul><li>Liaise with suppliers to confirm order details, lead times, delivery schedules, and documentation requirements.</li><li>Follow up on delayed or missing deliveries and escalate to the Supply Chain Analyst as needed.</li></ul>Inventory and Delivery Support:<ul><li>Collaborate with warehouse and logistics teams to coordinate incoming raw material deliveries and ensure receipt documentation is accurate.</li><li>Update internal systems with delivery confirmations and discrepancies.</li></ul>Data Entry and Reporting:<ul><li>Maintain accurate records of procurement activities in software.</li><li>Generate weekly and monthly procurement reports for the Supply Chain Analyst.</li><li>Support the preparation of performance dashboards and KPIs as needed.</li></ul>Administrative and Compliance Tasks:<ul><li>Support supplier onboarding with documentation collection and system input.</li><li>Ensure all procurement activities adhere to internal compliance standards and documentation protocols.</li><li>Assist in audit preparation by organising and providing required documentation.</li></ul>Continuous Improvement:<ul><li>Identify and suggest improvements to PO processes, templates, or communication flows to improve efficiency and accuracy.</li><li>Assist in documentation of standard operating procedures (SOPs) related to administrative procurement functions.</li></ul>Requirements:<ul><li>Strong organisational, scheduling, and planning skills.</li><li>Proven experience of 2 Years as an Operations Assistant or in a similar role, preferably in the e-commerce or retail industry.</li><li>Excellent verbal and written English communication and relationship management skills.</li><li>Proficiency in MS Office (Excel, Word, PowerPoint).</li><li>Analytical and detail-oriented mindset with strong problem-solving abilities.</li><li>Ability to manage sensitive and confidential information with discretion.</li><li>Strong interpersonal skills to collaborate effectively across teams and with senior management.</li></ul>Perks &amp; Benefits:<ul><li>At Taskaler, we want you to be well and thrive. As a growing company, we are seeking a Finance Assistant to join our talented team.Job Summary: As a Finance Assistant at Taskaler, you will focus on managing day-to-day finance processes and playing a key role in the client&rsquo;s reporting. Attention to detail is crucial, and you should be able to prioritize and plan your work effectively to meet deadlines.Key Responsibilities:1) Monitor the Inbox on a Daily Basis and Action All Emails<ul><li>Check and manage the finance inbox daily, ensuring all emails are acknowledged and actioned promptly.</li><li>Respond to internal and external finance-related queries in a professional and timely manner.</li><li>Forward or escalate specific matters to the appropriate team member when required.</li></ul>2) Complete All B2B Sales Invoices for All Entities on a Weekly Basis<ul><li>Prepare, review, and issue B2B sales invoices for all business entities.</li><li>Ensure invoices are accurate, compliant with company policies, and aligned with customer agreements.</li><li>Maintain proper records of invoices issued and coordinate with relevant departments for any discrepancies.</li></ul>3) Allocate Customer Bank Receipts on Xero on a Daily Basis for All Entities (GCR / GUI / Bottleshot)<ul><li>Accurately allocate customer payments and bank receipts in Xero for all entities.</li><li>Verify transaction details to ensure proper matching of payments and invoices.</li><li>Maintain up-to-date records of daily receipts and report any variances or unidentified payments to the Finance Manager.</li></ul>4) Onboard New B2B Customers<ul><li>Support the setup and onboarding of new B2B customers in financial systems.</li><li>Collect and verify customer details and ensure all compliance documentation is complete.</li><li>Coordinate with Sales and Operations teams to ensure a smooth onboarding process.</li></ul>5) Review and Reconcile All Accounts/Statements<ul><li>Perform periodic account reconciliations to ensure accuracy of financial data.</li><li>Review supplier and customer statements, resolving any discrepancies in a timely manner.</li><li>Assist in preparing financial reports and month-end closing activities as required.</li></ul>Requirements:<ul><li>At least have 2 years of experience working as a Finance Assistant.</li><li>Bachelor&rsquo;s degree in accounting, Finance, or a ACCA certified.</li><li>Proficiency in Xero or similar accounting software.</li><li>Strong Excel and data management skills.</li><li>Excellent attention to detail and accuracy in financial work.</li><li>Excellent verbal and written English communication and relationship management skills.</li><li>Ability to work collaboratively across multiple teams and entities.</li></ul>Perks &amp; Benefits:<ul><li>At Taskaler, we want you to be well and thrive.
