OverviewWe are seeking a dynamic and highly organized Part-Time Administrative Assistant to support our CEO&rsquo;s daily operations and strategic initiatives. This role offers an exciting opportunity to work closely with executive leadership. The ideal candidate will bring energy, professionalism, and a proactive attitude to manage a variety of administrative tasks, allowing our CEO to focus on high-level decision-making and growth initiatives. This position is perfect for someone with a passion for organization, excellent communication skills, and experience in executive support. Must be bilingual (English &amp; Spanish).Duties<ul><li>Manage and coordinate the CEO&rsquo;s calendar, including scheduling meetings, appointments, and business travel arrangements using Microsoft Outlook Calendar and Google Workspace.</li><li>Handle various aspects of internal communication, including drafting emails, and transcribing meeting notes with precision.</li><li>Organize and plan company events, meetings, and conferences from start to finish, ensuring all logistics are handled efficiently.</li><li>Provide comprehensive executive administrative support such as managing phone calls, handling confidential information, and preparing reports or presentations using productivity software.</li><li>Assist with bookkeeping tasks like expense tracking.</li><li>Communicate with partners, and clients via phone and email.</li><li>Facilitate project coordination by working with internal teams, and maintaining effective filing systems.</li><li>Support office management duties such as office supplies inventory, and maintaining a professional reception area.</li><li>Use video conferencing software to set up virtual meetings, troubleshoot technical issues, and ensure smooth remote communication.</li><li>Assist with business document signing processes via DocuSign or similar platforms while maintaining accuracy in records management.</li></ul>Experience<ul><li>Experience as an executive assistant or personal assistant preferred</li><li>Ability to maintain good phone communication at all times</li><li>Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace tools (Gmail, Docs, Sheets), and productivity software for efficient task management.</li><li>Strong organizational skills with the ability to prioritize tasks effectively while managing multiple projects simultaneously.</li><li>Excellent written and verbal communication skills complemented by professional phone etiquette and customer service experience.</li><li>Knowledge of video conferencing platforms like Zoom or Microsoft Teams; comfortable troubleshooting basic technical issues during virtual meetings.</li><li>Ability to maintain high levels of professionalism at all times.</li><li>Previous office experience involving data entry, filing systems, reception duties or multi-line phone systems is highly desirable.</li></ul>Pay: From $19.00 per hourBenefits:<ul><li>Flexible schedule</li><li>Professional development assistance</li></ul>Language:<ul><li>Spanish (Required)</li></ul>Work Location: In person
