Position OverviewWe are seeking a high-caliber, detail-oriented Operations &amp; Compliance Administrator to serve as the backbone of our growing portfolio. This isn't a typical &quot;desk job&quot;; it is a dynamic role designed for a professional who thrives on variety, organizational precision, and high-level coordination. You will be responsible for the full lifecycle of our business entities&mdash;from initial formation to maintaining &quot;Good Standing&quot;&mdash;while acting as a critical bridge between our executive team and external partners like General Contractors and Engineers.Key Responsibilities1. Corporate Compliance &amp; Entity Management<ul><li>Secretary of State Oversight: Manage all Secretary of State registrations, annual reports, and filings to ensure multiple entities remain in &quot;Good Standing&quot; across all relevant jurisdictions.</li><li>New Entity Setup: Lead the administrative formation of new business entities as the portfolio expands, ensuring all tax IDs, operating agreements, and foundational documents are secured.</li></ul>2. External Relations &amp; Project Advocacy<ul><li>Stakeholder Management: Lead meetings and manage ongoing relationships with Vendors, General Contractors, and Engineers.</li><li>Project Momentum: Actively track deliverables from external partners to ensure projects remain on schedule and roadblocks are identified early.</li></ul>3. Information Architecture &amp; Data Flow<ul><li>Data Streamlining: Direct the flow of critical documentation to ensure &quot;clean&quot; digital and physical filing systems.</li><li>CPM Management: Maintain real-time accuracy of Critical Path Method (CPM) boards for various projects, ensuring the executive team has access to up-to-date progress data.</li></ul>4. High-Level Coordination<ul><li>Meeting Facilitation: Set up and facilitate high-level strategic meetings, including agenda preparation and brief-back reporting.</li><li>Logistics: Manage corporate mail and physical document flow, ensuring sensitive materials are handled with discretion and speed.</li></ul>5. Strategic Agility<ul><li>Executive Support: Execute specialized &quot;tasks as requested&quot; to support the leadership team.</li><li>Fast-Paced Execution: Adapt quickly to the shifting priorities of a rapid-growth development environment.</li></ul>Qualifications<ul><li>Experience: 3&ndash;5+ years in a senior administrative, legal assistant, or operations role (Real Estate or Construction background preferred).</li><li>Technical Proficiency: Strong command of project management software, CPM tools, and state filing portals.</li><li>Communication: Exceptional verbal and written skills; comfortable leading meetings with technical professionals (Engineers/GCs).</li><li>Discretion: Proven ability to handle confidential corporate governance data with integrity.</li></ul>Why Join Us?You will be more than an administrator; you will be an enabler of growth.
