Position Overview
We are seeking a high-caliber, detail-oriented Operations & Compliance Administrator to serve as the backbone of our growing portfolio. This isn't a typical "desk job"; it is a dynamic role designed for a professional who thrives on variety, organizational precision, and high-level coordination. You will be responsible for the full lifecycle of our business entities—from initial formation to maintaining "Good Standing"—while acting as a critical bridge between our executive team and external partners like General Contractors and Engineers.
Key Responsibilities
1. Corporate Compliance & Entity Management
- Secretary of State Oversight: Manage all Secretary of State registrations, annual reports, and filings to ensure multiple entities remain in "Good Standing" across all relevant jurisdictions.
- New Entity Setup: Lead the administrative formation of new business entities as the portfolio expands, ensuring all tax IDs, operating agreements, and foundational documents are secured.
2. External Relations & Project Advocacy
- Stakeholder Management: Lead meetings and manage ongoing relationships with Vendors, General Contractors, and Engineers.
- Project Momentum: Actively track deliverables from external partners to ensure projects remain on schedule and roadblocks are identified early.
3. Information Architecture & Data Flow
- Data Streamlining: Direct the flow of critical documentation to ensure "clean" digital and physical filing systems.
- CPM Management: Maintain real-time accuracy of Critical Path Method (CPM) boards for various projects, ensuring the executive team has access to up-to-date progress data.
4. High-Level Coordination
- Meeting Facilitation: Set up and facilitate high-level strategic meetings, including agenda preparation and brief-back reporting.
- Logistics: Manage corporate mail and physical document flow, ensuring sensitive materials are handled with discretion and speed.
5. Strategic Agility
- Executive Support: Execute specialized "tasks as requested" to support the leadership team.
- Fast-Paced Execution: Adapt quickly to the shifting priorities of a rapid-growth development environment.
Qualifications
- Experience: 3–5+ years in a senior administrative, legal assistant, or operations role (Real Estate or Construction background preferred).
- Technical Proficiency: Strong command of project management software, CPM tools, and state filing portals.
- Communication: Exceptional verbal and written skills; comfortable leading meetings with technical professionals (Engineers/GCs).
- Discretion: Proven ability to handle confidential corporate governance data with integrity.

Pay: $54,369.34 - $65,477.05 per year
