With decades of experience and a strong commitment to quality and reliability, we&rsquo;ve built a legacy of excellence.Receptionist/Office Coordinator Position Summary:We are seeking a dependable, detail-oriented Office Coordinator to join our team. This role is key to maintaining an efficient, professional office environment while supporting the field and administrative teams in daily operations.Receptionist/Office Coordinator Qualifications:<ul><li>Professional and positive demeanor with excellent customer service skills.</li><li>Proactive and self-motivated.</li><li>Strong organizational and multitasking skills.</li><li>Excellent verbal and written communication abilities.</li><li>High attention to detail and accuracy in data entry and document management.</li><li>Proficient in Microsoft Office Suite (Excel, Word, Outlook).</li><li>Experience with American Contractor accounting software is a plus.</li><li>Previous construction office or administrative experience preferred.</li></ul>Office Coordinator job duties and responsibilities include, but are not limited:<ul><li>Answer and direct incoming phone calls.</li><li>Greet and assist office visitors.</li><li>Manage incoming and outgoing mail; sort and distribute appropriately.</li><li>Sort foreman folders.</li><li>Process field tags and invoices; verify, match to documentation, and distribute for approvals.</li><li>Maintain and renew city business licenses.</li><li>Maintain subcontractor and vendor Certificate of Insurance (COI), request updates as needed.</li><li>Create and manage project job folders.</li><li>Order and stock office and kitchen supplies; maintain office equipment.</li><li>Log weekly field Safety Meeting sign-in sheets; communicate status to VP.</li><li>Maintain employee birthday calendar and coordinate celebrations.</li><li>Support Accounts Payable with data entry, invoice reconciliation, and tracking Extra Work Orders.</li><li>Assist/backup Accounts Receivable and Payroll</li><li>Provide general administrative support to the office staff</li><li>Manage office supplies and deliveries</li></ul>Benefits:<ul><li>Employer-paid Health, Dental, and Vision Insurance through Operating Engineers</li><li>Paid Time Off (PTO)</li><li>401(k) retirement plan</li></ul>Job Type: Full-timePay: $26.50 - $29.00 per hourBenefits:<ul><li>401(k)</li><li>Dental insurance</li><li>Health insurance</li><li>Paid time off</li><li>Vision insurance</li></ul>Work Location: In person
