Receptionist/Office Coordinator Position Summary:

We are seeking a dependable, detail-oriented Office Coordinator to join our team. This role is key to maintaining an efficient, professional office environment while supporting the field and administrative teams in daily operations.

Receptionist/Office Coordinator Qualifications:

  • Professional and positive demeanor with excellent customer service skills.
  • Proactive and self-motivated.
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication abilities.
  • High attention to detail and accuracy in data entry and document management.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook).
  • Experience with American Contractor accounting software is a plus.
  • Previous construction office or administrative experience preferred.

Office Coordinator job duties and responsibilities include, but are not limited:

  • Answer and direct incoming phone calls.
  • Greet and assist office visitors.
  • Manage incoming and outgoing mail; sort and distribute appropriately.
  • Sort foreman folders.
  • Process field tags and invoices; verify, match to documentation, and distribute for approvals.
  • Maintain and renew city business licenses.
  • Maintain subcontractor and vendor Certificate of Insurance (COI), request updates as needed.
  • Create and manage project job folders.
  • Order and stock office and kitchen supplies; maintain office equipment.
  • Log weekly field Safety Meeting sign-in sheets; communicate status to VP.
  • Maintain employee birthday calendar and coordinate celebrations.
  • Support Accounts Payable with data entry, invoice reconciliation, and tracking Extra Work Orders.
  • Assist/backup Accounts Receivable and Payroll
  • Provide general administrative support to the office staff
  • Manage office supplies and deliveries

Pay: $26.50 - $29.00 per hour
