 Front Desk Receptionist / Legal Assistant
 
 to join our growing Personal Injury team. This role serves as the first point of contact for clients, visitors, and vendors while also providing administrative and legal support to our case management and litigation teams.
 
 
 The ideal candidate is bilingual in English and Spanish, enjoys helping people, has strong organizational skills, and thrives in a fast-paced law firm environment.

 Position Summary
 
 
 This position combines front desk responsibilities with legal administrative support. The successful candidate will greet clients, answer phones, process incoming and outgoing mail, assist with legal documentation, and provide administrative support to various departments throughout the firm.
 
 
 Essential Duties &amp; Responsibilities
 
 
 Front Desk &amp; Client Service
 
 <ul>
 <li>
 Greet clients, guests, and vendors in a professional and welcoming manner
 </li>
 <li>
 Answer and direct incoming phone calls
 </li>
 <li>
 Assist Spanish-speaking clients and callers
 </li>
 <li>
 Manage visitor sign-in procedures
 </li>
 <li>
 Maintain a professional reception area
 </li>
 <li>
 Coordinate conference room scheduling
 </li>
 </ul>
 
 Mail &amp; Administrative Support
 
 <ul>
 <li>
 Sort, distribute, and process incoming mail
 </li>
 <li>
 Prepare and send outgoing mail, certified mail, FedEx, UPS, and courier packages
 </li>
 <li>
 Scan and upload documents into the case management system
 </li>
 <li>
 Process checks and route them to the appropriate department
 </li>
 <li>
 Assist with office supply inventory and ordering
 </li>
 </ul>
 
 Legal Assistant Duties
 
 <ul>
 <li>
 Assist attorneys, case managers, and support staff with administrative legal tasks
 </li>
 <li>
 Prepare correspondence and legal documents
 </li>
 <li>
 Request and organize records
 </li>
 <li>
 Upload and organize case-related documents
 </li>
 <li>
 Assist with file opening and file maintenance
 </li>
 <li>
 Update client information and case notes
 </li>
 <li>
 Support various departments as needed
 </li>
 </ul>
 
 Qualifications
 
 
 Required
 
 <ul>
 <li>
 Fluent in both English and Spanish (written and verbal)
 </li>
 <li>
 Minimum 1 year of receptionist, administrative, or legal assistant experience
 </li>
 <li>
 Strong customer service skills
 </li>
 <li>
 Excellent communication skills
 </li>
 <li>
 Professional appearance and demeanor
 </li>
 <li>
 Strong attention to detail
 </li>
 <li>
 Ability to multitask and prioritize effectively
 </li>
 <li>
 Reliable attendance and punctuality
 </li>
 <li>
 Proficiency with Microsoft Outlook, Word, and Excel
 </li>
 </ul>
 
 Preferred

 Experience working in a Personal Injury law firm
 </li>
 <li>
 Experience handling legal documents and client files
 </li>
 <li>
 Experience with case management software
 </li>
 <li>
 Knowledge of medical records and insurance documentation
