Overview We are seeking a dynamic and organized Secretary/Receptionist to be the welcoming face and efficient coordinator of our office. This vital role combines front desk responsibilities with administrative support, ensuring smooth daily operations. If you have a construction background it is greatly noted.Duties<ul><li>Greet visitors and clients warmly, providing exceptional customer service and ensuring a positive first impression</li><li>Manage multi-line phone systems, screen calls, take messages, and direct inquiries efficiently</li><li>Maintain an organized front desk area, including filing, data entry, and document proofreading to support office functions</li><li>Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office and Google Workspace tools</li><li>Handle incoming and outgoing correspondence, including emails, mailings, and courier services</li><li>Support office management tasks such as inventory tracking, supply ordering, and basic bookkeeping using QuickBooks or similar software</li><li>Assist with clerical duties like filing, photocopying, typing reports, and maintaining accurate records for easy retrieval</li></ul>Experience<ul><li>Proven office experience or administrative support in a fast-paced environment</li><li>Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills</li><li>Experience managing multi-line phone systems and practicing professional phone etiquette</li><li>Bilingual abilities are highly desirable to serve diverse clients and team members effectively</li><li>Previous roles as a receptionist, medical or dental receptionist, or personal assistant are advantageous</li><li>Demonstrated organizational skills with the ability to prioritize tasks efficiently and manage time effectively</li><li>Knowledge of clerical procedures such as proofreading, filing systems, and calendar management is essential</li></ul>Join our team where your proactive approach and friendly professionalism will help create a welcoming atmosphere while supporting our office&rsquo;s seamless operation!Pay: $21.00 - $23.00 per hourBenefits:<ul><li>Flexible schedule</li></ul>Work Location: In person
