Secretary/Receptionist

Overview
We are seeking a dynamic and organized Secretary/Receptionist to be the welcoming face and efficient coordinator of our office. This vital role combines front desk responsibilities with administrative support, ensuring smooth daily operations. The ideal candidate will possess excellent communication skills, a friendly demeanor, and strong organizational abilities to handle diverse tasks with professionalism and enthusiasm. Duties

  • Greet visitors and clients warmly, providing exceptional customer service and ensuring a positive first impression
  • Manage multi-line phone systems, screen calls, take messages, and direct inquiries efficiently
  • Maintain an organized front desk area, including filing, data entry, and document proofreading to support office functions
  • Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office and Google Workspace tools
  • Handle incoming and outgoing correspondence, including emails, mailings, and courier services
  • Support office management tasks such as inventory tracking, supply ordering, and basic bookkeeping using QuickBooks or similar software
  • Assist with clerical duties like filing, photocopying, typing reports, and maintaining accurate records for easy retrieval

Experience

  • Proven office experience or administrative support in a fast-paced environment
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
  • Experience managing multi-line phone systems and practicing professional phone etiquette
  • Bilingual abilities are highly desirable to serve diverse clients and team members effectively
  • Previous roles as a receptionist, medical or dental receptionist, or personal assistant are advantageous
  • Demonstrated organizational skills with the ability to prioritize tasks efficiently and manage time effectively
  • Knowledge of clerical procedures such as proofreading, filing systems, and calendar management is essential
