JoAnna Baum Interiors is a growing residential interior design firm seeking a highly organized, detail-oriented Procurement Specialist / Administrative Assistant to support our design team behind the scenes. This role is ideal for someone who loves organization, thrives on follow-through, and enjoys managing the many moving pieces that bring beautiful homes to life.This is a remote position for Illinois residents only with occasional in-person team meetings or project support as needed.Position Details<ul><li>Part-time hourly position</li><li>Remote (Illinois residents only)</li><li>Flexible daytime schedule</li><li>Approximately 20-30 hours per week to start, with potential for growth</li></ul>Compensation<ul><li>Hourly, based on experience</li></ul>ResponsibilitiesProcurement &amp; Order Management<ul><li>Place and track furniture, lighting, rug, window treatment, and accessory orders</li><li>Communicate with vendors regarding lead times, backorders, damages, and shipping updates</li><li>Maintain accurate procurement records and order statuses</li><li>Coordinate receiving warehouse deliveries and installations</li><li>Process freight, receiving, and storage invoices</li><li>Track vendor acknowledgements and order confirmations</li></ul>Administrative Support<ul><li>Maintain project management systems and client files</li><li>Organize specifications, proposals, and purchase orders</li><li>Assist with client presentation preparation</li><li>Manage spreadsheets and project trackers</li><li>Coordinate meetings and schedules as needed</li><li>Support the design team with day-to-day administrative tasks</li></ul>Vendor &amp; Client Communication<ul><li>Follow up with vendors regarding outstanding items</li><li>Communicate shipment updates and procurement information to the design team</li><li>Assist in preparing client-facing updates and documentation</li></ul>Qualifications<ul><li>Minimum 2 years of experience in procurement, administrative support, interior design operations, project coordination, or a related field</li><li>Strong organizational skills and exceptional attention to detail</li><li>Excellent written and verbal communication skills</li><li>Ability to manage multiple projects and deadlines simultaneously</li><li>Self-starter who can work independently in a remote environment</li><li>Proficiency in Google Workspace (Docs, Sheets, Drive)</li><li>Comfortable learning new software and systems</li></ul>Preferred Qualifications<ul><li>Experience in the interior design, architecture, construction, furniture, or home furnishings industry</li><li>Familiarity with procurement processes and vendor management</li><li>Experience with Studio Designer, DesignFiles, Houzz Pro, or similar industry software</li><li>Understanding of furniture lead times, freight, receiving, and installation logistics</li></ul>About UsJoAnna Baum Interiors is a boutique residential interior design firm specializing in thoughtful, functional, and timeless homes.
